Only the dynamic and capable to adapt to multinational communications and can handle trillion of diversified correlations are welcome to apply with their CVs to hesham.dinana@solvingefeso Vacancy details: Job Title: Office Administrator Department: Administration Report to: President – Vice President Grade: 5 Salary: 5,000 EGP Contact With:- External: Deal with the clients and business partners to handle queries, inquiries and communicate with them on behalf of the President and VP… work withAirlines, Hotels, Travel Agencies, Logistics Companies and any tasks delegated from the President and VP Internal: Vertical-President and Vice President Horizontal-All Departments and other company offices around the world Summary: Responsible for performing administrative support, document management duties, provides administrative support to assigned area and whatever asked from the President or Vice President. Responsibilities and Duties: Organizes and maintains an up-to-date filing system that provides quick and efficient reference for the PRESIDENT AND VP. Compiling Monthly and Ad-hoc reports as needed Preparation of standard proposals and customer contracts Collection of time sheets data from all team members on weekly basis Ownership of data maintenance and integrity for the Projects database, the HR database and other company records Responsible for all hard & soft correspondence related to PRESIDENT AND VP (Typing, copying, scanning, faxing, emailing, electronic filing & manual) Organizes meeting, conferences, events etc. as well as keeping a record of minutes of meetings if necessary and send them to attendees. Monitoring, keeping, ordering & distributing company stationary. Monitoring and ordering company forms i.e.(internal PR, vacation form etc.) Coordinating with HR department & financial department all related tasks to facilitate the above mentioned assignments. Responsible for travelling arrangements Contacting with printing for Business Cards, Letter head & Envelops (A4 & A5) Responsible for Business Mobile lines. Supporting the PRESIDENT AND VP for Finance &Administration and Commercial Director upon their request as well as. Supervising the office boy & cleaning boy Collecting & distributing papers whether faxes among departments and other printed document to save papers & time ( not to be printed twice ) Monitoring the attendance and urging employees and their managers to sign their (permission note, vacation leave etc.) monitoring the stationery stock and providing departments with their needs. Connecting departments by each other through taking message from & by phone or by any way. After and before all of the above the follow up on everything. Last but not least two long terms projects; searching project (new sales sectors) & profile, book, etc. Monitoring maintenance and supplies for office supplies and furniture.
