A multinational company located in Heliopolis , hiring Secretary Purpose of the role: Day to day administration processes, procedures and standards . Ensuring accuracy, proficiency and adherence across a national level. Ensure that the front line for the company is efficiently maintained . Provide administrative and office support to the Office Manager Role deliverable: • Ordering and general control of stationery • General office administration required such as scanning, faxing etc. • Calendar requests to be emailed to all parties involved • Organize status meetings between the Regional Managers and their relevant team • Establish a relationship with Governorates. • Mentioning Attendance. • Responsible for all stock control (office supplies, stationery, drinks etc) • Checking and signing of all deliveries • Orders to be reconciled for all office stationery, supplies, drinks and office maintenance. • Responsible for all office repairs and maintenance. • Responsible for printing all telephone bills per extension and following up that staff members have signed for these • Signing of all monthly attendance registers. • Faxing and copying on request for various staff members. • Sending out appropriate emails concerning visitors in the building eg. Maintenance people etc • Monitoring staff arrivals and departures from work (so that clients etc can be informed correctly) • Creating and appropriate front line reception environment for all clients and being an ambassador in representing the company to all clients and other visitors. Knowledge and skills required: Minimum skills and knowledge: • Completed Matric and relevant tertiary education advantageous • Min. of 0-3 years administrative experience coordinating a large team • Good Excel, Word and PowerPoint skills • Fluent in English Behavioral dimensions: • Initiative, pro-activity and strong organizational abilities • Strong written and verbal communication skills • Ability to apply innovative thinking in recruiting and training of large national teams • Well-developed presentation skills • Good motivational ability and conflict resolution skills • Systems orientated • Strong administrative skills and ability to adhere to the administrative regulations of the department • Ability to adhere to strict deadlines • Accurate and detail orientated • Ability to multitask and work well under pressure • Must accept responsibility and accountability for work • Ability to work independently. to Apply, please send your CV with a recent photo on recruitment.egypt@tnsglobal
