ANA Election 2014 Schedule Notice Dear ANA members, As you may be aware, The Circuit Court of Prince Georges County, Maryland has ordered that a committee be formed to conduct the elections for the officers of the ANA. As chairman of the committee, I am writing to you to advise you of the process that will be followed for the election and to urge you to promptly confirm your membership status so that you will be eligible to vote. 1. Our first task is to establish a valid list of members eligible to vote. A member in good standing for at least one year will be considered eligible to vote if that member has paid his/her dues and provided a full name, phone number and physical address to the organization. At the present time, we have very few names or addresses, just e-mail addresses. If you wish to vote in this years election, you MUST respond to this email no later than 5:00 p.m. EDT on Sunday, August 31, 2014 and provide your complete identifying membership information. Our committee will review the list and strike incomplete responses. No later than Tuesday, September 2, 2014, a list of eligible members will be published on our website- anaelection.org - which will contain all relevant information about the election to include the authorization and identity of the election committee, a list of members eligible to vote, explanations of the nomination and voting processes, key dates and deadlines, the nomination form and ballot form, and of course the election results. 2. Anyone who feels that his or her name has been improperly omitted from the voting list or listed incorrectly will have until 5:00 Friday, September 5, 2014 to email the committee with an appeal, challenge or correction, then the voting roster will be finalized. The names on that roster will be e-mailed on September 8, 2014 an invitation to submit nominations for the five executive offices: President, Vice-president, Secretary, Treasurer and Information Officer. 3. Nominated candidates must be members in good standing who also have previously served on the Executive Board (not necessarily as an officer). Nominations must be received by 5:00 Friday, September 12, 2014. The committee will determine the eligibility of each candidate and prepare a ballot. Draft ballots will be e-mailed to the eligible voters the week of September 15, 2014 and available on-line at: anaelection.org. 4. You will then have until 5:00 on Friday, September 19, 2014 to challenge in writing any name on the draft ballot or to appeal the absence of a name. The committee will resolve all challenges by Monday, September 22, 2014. Final ballots will be e-mailed and mailed on that date. 5. We will use an online voting service which will coordinate voting and certify the authenticity of each vote. The service is Votenet Once you are certified as a member eligible to vote, you will receive a key which will allow you to cast your ballot online. All votes must be cast by 5:00 on Friday, September 26, 2014. If any member is voting by regular mail, the ballot will have to be post-marked no later than Wednesday, September 24, 2014. Each member is entitled to cast one vote for each position. 6. The new officers will be announced on the website by Monday, September 29, 2014, and assume office on October 4, 2014. In summary, here are the deadlines and dates for our future actions: -Membership address verification deadline: Sunday, August 31, 2014, 5:00 p.m. EDT -Release of List of Members: Tuesday, September 2, 2014 -Appeal for the incorrect name deadline: September 5, 2014, 5:00 p.m. EDT -Release of Final List of Members: September 7, 2014 -Invitation to submit nomination: September 8, 2014 -Nominations filing deadline: Friday, September 12, 2014, 5:00 p.m. EDT -Release of name list of candidates: September 13, 2014, 5:00 p.m. EDT -Opposition of candidates: September 19, 2014, 5:00 p.m. EDT -Release of final name list of candidates: September 22, 2014, 5:00 p.m. EDT -Online vote casting begins: Friday, September 23, 2014, 5:00 p.m. EDT -Online vote casting deadline: Friday, September 26, 2014, 5:00 p.m. EDT -Mail-in-ballot deadline: post-marked no later than Wednesday, September 24, 2014 -Announcement of the elected / winner new officers: Monday, September 29, 2014, 5:00 p.m. EDT -Swearing-in and assume office by new elected officers: October 4, 2014, 12:00 noon EDT, New York or DC PLEASE DO NOT ASSUME THAT THE ASSOCIATION HAS YOUR CORRECT MEMBERSHIP INFORMATION. RESPOND TO THIS EMAIL WITH YOUR FULL NAME, PHONE NUMBER AND PHYSICAL ADDRESS BY 5:00 ON AUGUST 29, 2014. ALL IDENTIFYING INFORMATION WILL BE RETAINED SOLELY FOR THE USE OF THE ASSOCIATION OF NEPALIS IN THE AMERICAS AND WILL NOT BE SHARED WITH ANY OTHER PERSON OR ORGANIZATION. BY IDENTIFYING YOURSELF IN RESPONSE TO THIS EMAIL YOU ARE CERTIFYING UNDER THE PENALTIES OF PERJURY THAT THE INFORMATION YOU ARE PROVIDING IS TRUE AND ACCURATE AND THAT YOU HAVE PAID THE PAST YEARS MEMBERSHIP DUES OR ARE A LIFE MEMBER.
