Administrative Assistant (Full-Time) Recreation and Community Services Description SALARY: $3,481 - $4,345 per month. APPLICATION INFORMATION: In addition to the City’s application, candidates must submit a certified typing certificate, obtained within the last 12 months from the date the application is submitted, to demonstrate they meet the minimum typing requirement of 50 words per minute (wpm) net. Internet typing test will not be accepted. Failure to submit with the application will result in disqualification from the recruitment process. Re-certification of typing speed may be required as a condition of hire with the City. THE POSITION Under general direction, the Administrative Assistant performs a variety of highly responsible and complex secretarial and administrative duties. The position composes and prepares letters, memorandas, and reports pertaining to standard policies. Serves as a primary resource and information source regarding department policies and procedures; answers questions and provides information where judgment, knowledge and interpretations are utilized, especially in the proper handling of confidential information or files. Researches, analyzes, and summarizes data and information pertaining to specified activities, operations, or functions as assigned. Participates and assists in the administration of assigned office and may issue various permits. Maintains detailed calendar of department activities and for assigned staff; arranges interviews, appointments, schedules, conferences, travel arrangements, and itineraries. Establishes and maintains complete records and files including financial, budget, personnel, operational, and administrative records. Provides customer service and interacts with the public at the public counter and by telephone. Assists in the preparation and monitoring of departments budget including to secure purchase orders, processes invoices, monitors account balances, and performs account transfers. Operates modern office machines and equipment including word processors, typewriters, printers, copiers, calculators, and FAX machines; routinely uses a full range of word processing and spreadsheet computer software applications. Attends and participates in staff meetings and related activities; attends workshops, conferences, and classes to increase professional knowledge. Takes and transcribes minutes at regular and special meetings and designated committees; prepares meeting packets for distribution; and performs other related duties as assigned. The eligibility list created from this recruitment may be used to fill vacancies in other departments. QUALIFICATIONS/REQUIREMENTS Experience: Three (3) years of increasingly responsible administrative secretarial experience. Proficiency in Microsoft Word and Excel is highly desirable. Education: Education equivalent to the completion of the twelfth grade supplemented by specialized coursework in office practices, management, or business administration. License/Certificate: Ability to type 50 words per minute net and enter data at a speed necessary for successful job performance. Candidates must submit a copy of a certified typing certificate, obtained within the last 12 months from the date the application is submitted, to demonstrate they meet the minimum typing requirement. Special Requirements: Ability to work in a standard office environment. THE SELECTION PROCESS: Applications will be reviewed and those candidates whose applications indicate they have met the minimum requirements will be further considered to continue in the recruitment process. The selection process may consist of: Application Evaluation (Qualifying); Written Examination (40%); and Oral Interview (60%). Candidates will be selected for the written exam and oral interviews based on qualifying review of application materials. The City reserves the right to limit the number of written exams and interviews conducted. The written and interview score determines ranking on the eligibility list. Pre-employment background and medical examination are additional requirements for hire. Failure on any part of the selection process will result in disqualification and exclusion from further progress.
