Administrative Assistant (Plant Watson) Requisition Number: MPC2000953 Operating Company: Mississippi Power Company Administrative Assistant / Invoice Reconciler Plant Watson JOB SUMMARY This position is responsible for providing administrative support to Plant Watson. The successful candidate will handle all aspects of administrative duties including but not limited to: • Ability to learn and navigate plant financial software such as Oracle, Maximo and Powerplant in order to research invoicing issues. • Invoice Reconciler o Invoice routing for approval, assign account distributions for non PO and service invoices. o Experience reading contracts to ensure that what we are being billed for is in line with the contract. o Ability to analyze and cross match data to ensure accuracy (excel proficiency). o Good understanding of accounts payable and the monthly accrual process. o Ability to work with system owners and engineers to resolve invoice hold issues. o Review timesheets for accuracy related to billing rates. • Provide computer/data/documentation support with high proficiency in the Microsoft Office Applications (Word, Excel, Outlook, PowerPoint, etc.) in order to assist department in maintaining databases and creating reports, presentation, compliance documentation, etc. • Must be able to maintain confidentiality of sensitive information. • Serve as back up to other plant departments when needed. • Ensure that time for the department is reported accurately each pay period. • Maintain calendars, email and meeting schedules for department Manager & staff as needed. • Organize and schedule meetings, conference rooms, and related logistics. • Make travel arrangements. • Manage iExpense and Enterprise Solutions applications for department. • Order and maintain department supplies. Job Experience & Education: • High school diploma or equivalent. Two year degree or vocational school/certification is a plus. • Extensive experience in administrative support including conference, travel and meeting arrangements, report preparation, and calendar management. • Experience working with union covered employees in a plant environment is preferred. • Preferred experience related to financial accounting processes.
