Assistant Registrar Colgate University Job Location: Hamilton, NY Job Category: Student services Admissions / registrar Posted: November 13 Diversity Profile Job Category: Professional/Administrative Division/Department: P/DF-Registrar Full time/Part Time: Full-Time Working hours: Monday through Friday Job Description: The Assistant Registrar reports to the University Registrar and is an integral part of the Registrars Office team. General responsibilities include supporting academic/curricular operations that require the use of the student information system (Banner); providing functional expertise in the use of Banner and other systems; familiarity with degree requirements and curricular elements; and knowledge of University policies and office procedures. The Assistant Registrar assists with the daily operation of the Registrars Office and registration processes, and must be committed to providing exceptional service to Colgate students, alumni, parents, faculty, and staff. This is a full-time, twelve-month position. Essential Functions: - Advise students, faculty, staff, alumni, and parents regarding University policies and procedures. - Assist with implementation and maintenance of DegreeWorks (degree audit program). - Oversee the collection, editing, and preparation of university catalogue information. - Assist with review and entry of transfer credit. - Maintain course-related coding in Banner and DegreeWorks. - Assist with registration-related processes, including Banner database set-up, schedule creation and course offerings, student advising, registration, and drop/add. - Generate reports using MSQuery and assist with projects. - Provide training and guidance to faculty, staff, and students in use of DegreeWorks and other systems. - Serve as back-up transcript assistant and receptionist responding to requests. - Assist with maintenance of office web pages and portal channels, and office communications. - Participate in planning and implementing office procedures. - Assist with beginning and end of term processes. - Assist with commencement preparations. - Maintain security and confidentiality of all student records in accordance with the Family Educational Rights and Privacy Act of 1974 as amended (FERPA) and other applicable state and federal laws. Qualifications (Education and Experience): - A Bachelors degree and at least five years of professional work experience, with preference given for experience in higher education (particularly at a liberal arts college). - Must be able to think strategically and analytically with highly developed problem-solving skills. - Significant experience working with data from Banner (or other student information system) and proficiency with MS Office (Word, Excel) are essential. - Must possess excellent organizational and time management skills, a strong work ethic and attention to detail, and the ability to prioritize and manage multiple deadlines. - Effective interpersonal and writing skills are essential, as this position is responsible for publications and communicates with a diverse population, including Colgate students, parents, faculty and staff, and external organizations. - This position also requires the ability to work well as part of a team in a busy, student-centered office, and exhibit professionalism and sound judgment while dealing with sensitive and confidential information. Must be capable of working collegially with a diverse group of faculty, staff and students on a daily basis. - Familiarity with query software (e.g., MS Access or Query) is highly desirable, as are editing experience and knowledge of web development applications.
