JOB SUMMARY: Performs a variety of clerical duties of a routine and recurring nature, to support the operation of programs in the offices of the Central Neighborhood Opportunity Center (NOC) and Workforce Development Program (WDP). B. SPECIFIC RESPONSIBILITIES: Essential Functions: 1. Handles all walk-in guests and calls from persons requesting Central Neighborhood Opportunity Center (NOC) and Workforce Development Program (WDP) services. 2. Provides information and referral for callers seeking general services that are not available in the program office and maintains the record of contacts for reporting purposes. 3. Schedules callers seeking Customer Service Training for the next available orientation and provide specific information to help them to prepare to attend. 4. Direct calls to program personnel or their voice mailboxes as appropriate to respond to the callers who are seeking new or follow-up contact. 5. Types and prepares a variety of letters, memorandums forms and program and expenditure reports; prepares requests for purchases of office supplies, classroom supplies, equipment, and client benefits (i.e. bus tickets). 6. Assures that all enrolled customers or students entering the program offices sign in at the front desk before entering the classrooms or offices of any personnel. 7. Properly prepares (with typewritten labels) mail for delivery to the CEOGC main office mail room for inclusion in outgoing U.S. mail. 8. Properly prepares mail for intra-agency delivery on a timely basis to avoid delays in processing requests and making payments to vendors. 9. Faxes or scans (attached to email) documents to other offices as needed to support the operation of the programs. 10. Accepts documents forwarded (faxed, scanned, or intra-agency) from the Forbes Learning Lab, Glenville NOC, Tremont NOC, other CEOGC program offices, or other agencies and files the in the appropriate customer files. 11. Receives, sorts and logs (if appropriate) and distributes all incoming mail from all sources; receives and signs for all deliveries of supplies or equipment and forwards Job Announcement # 50-2014 receipt documentation to the Community Services Operations Office; distributes supplies to appropriate personnel according to the requests made. 12. Collects all personnel time sheets and personnel activity reports, secures required supervisory signatures and forwards them to the CS Operation office. 13. Assists with the maintenance of customer files, including but not limited to, assuring that all cabinets are locked and not customer records are left unsecured at the end of business each day. Non-Essential Functions: 1. Prepares conference rooms for meetings (prepares agenda and provides sign-in sheets). 2. Maintains copies of all meeting agendas and sign-in sheets for manager’s uses in record keeping. 3. Performs other related duties as assigned. C REQUIRED JOB QUALIFICATIONS: 1. High school or general equivalency (GED) diploma. 2. Proper grammar usage, ability prepare (and edit) business letters from handwritten drafts. 3. Demonstrated typing/keyboard skills (45+ words per minute). 4. Thorough knowledge of filing systems and methods for filing and maintaining customer records and other program files. 5. Some ability to use office production computer software programs and/or the willingness to be trained. Additional Requirements/Conditions of Employment: Successful results of pre and continued employment assessments including fingerprinting, drug testing, medical examinations and background check(s).
