Certified Medical Assistant/Administrative Coordinator (University City PURPOSE OF THE JOB: Under supervision of the Associate Director of Student Health Services/Nurse Practitioner, The Certified Medical Assistant (CMA) performs clinical and departmental support activities, some of which require advanced knowledge and specialized skills, such as phlebotomy and injections. The CMA also performs a variety of non-clinical tasks related to fiscal, staff support, and routine office clerical duties. Some of these responsibilities require advanced or specialized knowledge and skills, such as budget administration and control, equipment, facilities and inventory management, specialized recordkeeping and database management, and/or specified information gathering, projects and tasks. The CMA provides outstanding customer service to student clientele and endeavors to maintain the professional nature of the Student Health Services. MAJOR CLINICAL RESPONSIBILITIES: • Performs clinical and support activities for the department and serves as a central point of liaison for new and returning student clientele/patients. • Serves as custodian of medical records and provides physical and technical measures to safeguard patient information assuring the confidentiality, integrity and availability of protected health information in accordance with HIPAA Federal Regulations. • Oversees the prompt and courteous processing of student clientele/patients. • Be able to register patients via electronic health record system (PyraMed) as they present to the health service and schedule future appointments. • Stock, clean and disinfect the clinic exam rooms and common areas under direction of the healthcare providers. • Perform initial work-up of patients (vital signs, chief complaint and history of symptoms, etc.) • Assist and chaperone for pelvic examinations including the processing of any testing completed. • Obtain blood work and perform other office testing such as urine dip, urine pregnancy, PPD placement, rapid strep and rapid mono tests. • Obtain as directed, laboratory and diagnostic test results such as blood work, radiology and ultrasound reports. • Package specimens for pick up by the various laboratories. • Order, receive, organize and store all medical supplies in designated areas. • Administer injections for TB screening, immunizations, and medications. • Input of data into electronic health record system (PyraMed). • Review Student Health Records for accuracy and completeness. • Follow up by phone or email with patients under direction of the Associate Director and other healthcare providers. • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the Student Health & Counseling Service. MAJOR ADMINISTRATIVE/DEPARTMENTAL RESPONSIBILITIES: • Oversees and/or performs administrative and clerical activities for the department and serves as a central point of liaison for visitors, prospective students, current students, faculty and staff. • Schedules appointments • Contacts students to confirm appointments, follow-up missed appointments and reschedule appointments as indicated • Manages daily mail retrieval & processes outgoing mail • Processes staff timesheets, payroll, & budget and recordkeeping documents. • Manages the processing of charges for student account billing transactions, and insurance charges. • Oversees the efficient operation and maintenance of computer equipment, systems, and data. • Orders non-medical supplies and materials as needed for the purpose of ensuring the efficient and effective functioning of the unit. • Report preparation, data manipulation, and mail merge to generate external communications and tracking of data for statistical reporting. • Oversees and/or performs a range of administrative activity including maintaining department schedules, calendars, coordinate and schedule meetings and facilities usage, and/or travel arrangements as required. • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the Student Health & Counseling Service. OTHER DUTES: • Performs other related duties as assigned by the Dean of Student Affairs for the purpose of ensuring the efficient and effective functioning of the Student Affairs Division. EDUCATION AND EXPERIENCE: • High School Diploma or equivalent. • Medical Assistant Program Diploma • Minimum of 2-3 years experience in a primary care clinical setting directly related to the clinical duties and responsibilities specified. • Minimum of 2-3 years experience in an office management setting directly related to the duties and responsibilities specified. KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: • Highly computer literate; expert level in word processing, and intermediate level in Excel, PowerPoint, and MS Outlook • Ability to adapt to new technology and departmental applications such as Datatel/Colleague Database, and PyraMed electronic health record system. • Strong customer service skills. • Ability to handle confidential information and records. • Excellent written and verbal communication skills. • Highly organized with ability to multi-task and takes the initiative in maintaining excellence of care. • Able to work effectively and professionally with the campus community and public when communicating directly and via telephone. • Ability to perform required clerical, technical and specialized skills within the CMAs scope of practice; • Ability to perform basic to complex technical office skills with minimal support using sound judgment and problem solving skills. • Able to work independently within established procedural guidelines. LICENSES/CERTIFICATIONS REQUIRED: • Medical Assistant Certification • CPR Certification.
