JOB DESCRIPTION Summary of Responsibilities: Primary responsibility is to provide various administrative support necessary to daily business activities of the firm. There will also be responsibly with greeting clients (both internal and external) in a world class professional manner. Essential Position Functions: Provide administrative support to Shareholders Typing and processing of financial statements and management reports, Processing of corporate and individual tax returns Maintain and update CPE records for firm employees Arrange client and internal meetings Expertly operate VoIP Communication System & remote conferencing systems Preparation of presentations, letters, forms, memos, and faxes Greets and assists clients and visitors promptly in a professional and friendly manner Arrange for conference rooms, including needed equipment and/or conference calls, meeting breakfast/lunches/coffee, etc. Maintenance of all common areas of the firm such as meeting areas and conference rooms Maintains various log books pertaining to employees and packages Performs other light clerical work as assigned QUALIFICATIONS Position Qualifications: Ability to communicate effectively with Shareholders, employees, and clients Excellent written and oral communication skills Proven time management and organizational skills At least 2 years of experience in a professional office setting is required Experience with office equipment such as copier/scanner, calculator, and fax machine Ability to maintain client confidentiality Solid technical proficiency in Microsoft Office- Word, Excel, PowerPoint, and Outlook Associates Degree is required, Bachelors Degree is preferred Overtime hours during peak busy times This job description does not list all the duties of the job.
