Depot Administrator – Cape Town Airport Service Solutions Staffing - Western Cape Report to Depot Manager. Responsible for basic administrative functions of the depot and ensuring efficient and effective operation of all activities. Qualification and Experience: Grade 12 / equivalent thereof Computer literate. Strong analytical skills and the ability to multi-task Excellent communication (both written and oral). Proven and progressive organizational skills Creative problem solving skills. Ability to work under pressure Driver’s License (code 08) Ability to work shifts & weekends Computer literate Hard worker with a passion for car rental Flexible in working hours ADMIN - depot Loading of daily inventory: vehicles and baby seats Doing of live transfers of vehicles to other locations and ensuring that all information entered on Hilts is correct, this will prevent grounded and out of service vehicles leaving the depot. Ensuring that all movements for vehicles entering the depot are closed immediately and correctly. Should the systems be down, ensuring that a manual movement is made for any vehicle leaving the depot. Ensure that all manual movements out are loaded and all manual movements in are closed immediately when the systems are running. Ensure that all movements are correctly authorized and signed as per company procedure. Ensuring that all information on fuel sheets is correct for capturing/loading of fuel on spread sheets and that original sheet stay at depot. Ensuring that any gaps on the shuttles in and shuttles out are followed up immediately and any irregularities/concerns are brought your supervisor/managers attention immediately. Assist/help depot supervisor with daily fleet reports. Service report (cyber report: service due WC) to be done over weekends and for 3 days over month end. Ensure all documents are filed correctly at the end of your shift. ADMIN – panel shop Ensuring that all damaged vehicle statuses are correct. Live transferring of vehicles to outside workshops. Ensuring that all movements for vehicles entering the depot are closed immediately. Should the systems be down, ensure that a manual movement is made for any vehicle leaving the depot. Ensure that all manual movements out are loaded and all manual movements in are closed immediately when the systems are running. Actioning of daily cyber repairs and claims reports. Actioning of daily overdue claims report twice weekly (Tuesday and Thursday) Submitting of documents to claims department on a daily bases. Issuing of repair order and ensuring that all relevant information is filled in with estimated amount and expected return date and signed by authorized manager. Also ensure that all unused lines are blanked off. GENERAL - depot Check activity and up dates at the start of your shift. Discuss any special requests/vehicles concerns with your supervisor. Continually liaise with other branches/airport and keep your supervisor informed of any changes, requests and new updates. Only supervisor and managers are allowed to confirm vehicles. Assist security guard when needed. Ensure that there is sufficient stationary at all times, this includes QCE’s, VPI books and any stickers that are used, advise workshop administrator of any shortages. Sound cost saving behavior GENERAL – panel shop Liaising with panel shops on a daily bases to ensure that damaged vehicles are quoted, collected, repaired and returned in the shortest possible time. Reporting of any reoccurring problem/fault with any make or model of vehicle to you supervisor/manager. Ordering of any damaged parts that can be fitted in house. Ensure that all office equipment is in good working order and report any problems to your supervisor/manager immediately. Ensure that the office is neat and tidy at all times. Ongoing checking of vehicles returning from outside shops to ensure that the requested work has been done and sign acceptance receipt, report any irregularities/concerns to your supervisor/manager immediately. Report any unknown damages to your supervisor/manager immediately. Follow systems to ensure speedy and maximum work flow. Sound cost saving behavior.
