Director of Front Office YWCA Santa Monica/Westside Santa Monica, California Under the direction of the Executive Director, the Director of Front Office is responsible for supervision of all activities that take place in the front office of the main building. DUTIES AND RESPONSIBILITIES Front Office Implementation and Infrastructure Develop, implement and manage Front Office activities, including but not limited to: answering the telephone and transferring calls/taking messages as needed; accepting and processing income from donations, class fees, tuition, memberships, and fundraisers; processing new memberships and class registrations; positively interfacing with YWCA donors, members, program participants, vendors and service personnel, and the community (i.e., everyone who enters the facility); screening prospective volunteers and directing them to appropriate staff; managing the building calendar; updating DonorPerfect/Membership software with new donor and member information, including producing query results in a timely manner; processing mail; maintaining order of lobby in terms of brochure and promotional displays, community advertising, and furniture; and assisting Executive Director with mailings and other administrative tasks as needed. Recruit and train volunteers and interns. Maintain open communication lines among staff, volunteers, interns, and program participants. Establish, monitor and enforce Front Office policies, procedures and safety guidelines and communicate with staff, volunteers, interns, and program participants. Purchase, maintain and inventory Front Office equipment and materials. Report and discuss Front Office activities, needs and developments with Executive Director as needed or monthly. Evaluate Front Office activities through member feedback and responses to periodic surveys. Attend necessary workshops, events and training seminars as they relate to the Front Office, donor management software, or other administrative functions. Public Relations As the first point of contact for the YWCA, greet all individuals who enter the building in a positive and welcoming manner. Gain working knowledge of the YWCA Strategic Plan and adhere to program-related goals, objectives and strategies within the Plan. Participate in YWCA fundraising and awareness-building events (e.g., Focus Awards, Open House gatherings). Attend and/or present at relevant community fairs as they relate to the YWCA. Enhance Cycle of Life programs through interaction, resource-sharing, and civic engagement strategies between and across specific programs. Enthusiastically and effectively represent the YWCA’s new model of program delivery to YWCA members, participants, friends, donors, and the community. Foster and maintain a positive work environment with staff, Board members and all YWCA constituents. PREFERRED QUALIFICATIONS BA/BS degree in related field Three years experience in field/related field, including volunteer management Bi-lingual (English and Spanish) required Excellent oral and written communication skills Conflict resolution and problem solving skills Personable, supportive and able to work within a customer service framework Refined and well-organized multi-tasking skills Proficient us of Microsoft Office Suite as well as a willingness to learn new software programs the YWCA may adopt or that may be required for this position (e.g., DonorPerfect, membership software) OTHER DUTIES AS ASSIGNED Application Instructions: Please submit cover letter and resume to Julia Miele at [email protected].
