EG-OM-01 – Office Manager - VirgoSoft Job Description: -Provides administration duties and develops proper implementation of the work flow. -Assign and monitor clerical, administrative responsibilities and tasks among office staff -Design and implement filing systems. -Handle customer inquiries and complaints -Overseeing the recruitment of new staff, sometimes including training and induction -Keeps management informed by reviewing and analyzing special reports. -Performs general administration duties such as photocopying, faxing, mailing, filling, writing letters, writing Memos and searching. -Follow up and monitors all the minutes that goes from the MD’s office to the departments of the company or letters sent to the company clients. -Handles correspondence, reports, and materials of publications and presentations. -Screens and distributes incoming and outgoing correspondence. -Prepares the meetings of the board directors, participates effectively and records the meeting. -Schedules meetings, writes the minutes and distributes them. -Updates and maintain the MD’s calendar, schedules appointment and meetings. -Arranges travel agenda and hotel reservations for the MD. -Handles the MD correspondence, mails and reply according to the chairman gaudiness. -Greets visitors and answers telephone, takes messages and replies to questions in appropriate manner. -Provides translation assistance for the MD’s office.
