Develop best practice and ensure compliance and consistency in bid production across each office. As a major international legal practice, we respond to a large number of Requests for Proposal (RFP) and participate in legal panel reviews both regionally and globally. Our bids team is responsible for producing those bids by working alongside fee earners and co-ordinating responses with the relevant teams or regions. Key performance areas Bid management • Through consultation with relevant local team leaders, facilitate and drive an evaluation process on bid opportunities, to ensure ‘Go No Go’ decisions are aligned to local business development strategy • Support fee earners throughout the bid lifecycle, leveraging all sources and systems (see best practice section and tools to lead conversations) to ensure all regional and global (where relevant) experience is maximised and conveyed to the client. This also includes providing strategic advice, challenging thinking on strategy and team selection • Draft, edit and project manage bids to ensure all key protocols are adhered to and house style compliant bids are produced • Ensure all relevant fee earners are consulted and included at key ‘sign off’ stages of bid process • Ensure relevant consultation and sign off for all commercial terms of bid • Provide ad hoc support and respond to bid queries across offices, acting as an advocate of best practice and a specialist information resource for those producing non-strategic bids • Advise others producing bids on appropriate structure and presentation • Provide coaching support for Directors on bids and presentations and identify further coaching and training where appropriate • Conduct debriefs and analysis of feedback, whether won or lost and use the information to improve the quality of future bids and identify trends Best practice • Source and develop high quality materials for use in proposals as standard text and maintain all regional content for the global bid template and global bid site to ensure content, local certificates, policies etc is up to date and relevant • Oversee SA contribution to global panel spread sheet and facilitate sharing of information with other departments on panel information (eg finance, compliance). Drive panel win kick off meetings • Obtain competitor intelligence and track activity • Drive and promote use of existing bid systems across offices, these include experience management database, cv database, global bid template, global bid site Communication • Establish communication channels across offices to raise awareness of regional and global bid activity. This includes establishing and driving protocol of local and global bid alerts • Oversee communication of updates/enhancements and changes to bid systems across offices to ensure compliance and consistency in bid production and that all systems are fully utilised • Oversee production of routine and ad hoc management reports regarding detailed bid activity at office and regional level. This includes leveraging existing reporting systems for non-chargeable bid matters and producing bid dashboard reports that reflect type and cost of bid activity • Work alongside the SA business development and marketing team to ensure consistent key messages are conveyed to clients and ensure bid activity is aligned to business development strategy • Maintain regular contact with relevant bid resource in each member firm to ensure bid activity is aligned. In particular maintain close relationship with head of bids (global), based in London office Miscellaneous • Reviewing budgets for accuracy and co-ordinating payment of invoices with finance • Adhere to team administrative procedures such as providing reports on activity and ROI when requested Job requirements • A self-starter with initiative and is proactive in developing ideas and solutions • Well-developed persuading and influencing skills • Confident, assertive and resilient • Excellent interpersonal and communication skills • Ability to liaise confidently and build relationships with people of all levels • Relevant degree and/or professionally recognised marketing or communications qualification, or equivalent • Ability to work under pressure and to tight deadlines • Advanced IT skills including advanced Word and Microsoft Office packages • Attention to detail and accurate typing and writing skills • Excellent project management skills and the ability to manage workloads • Ability to work both autonomously and a team player • Strong organisational skills and a flexible approach Experience Minimum of two years’ experience writing bids (preferably for a professional services firm) and experience of advising and questioning stakeholders on content Attributes and knowledge Our business principles are quality, unity and integrity.
