Executive Administrative Assistant – Newark, NJ This top position reports to the President and CEO of this well-established financial institution. You will be responsible for providing personal administrative support functions, such as preparing correspondence in final form, maintaining files and records, and conducting projects and assignments. RESPONSIBILITIES: • Establish, maintain, and revise executive filing and record keeping systems. Classify, sort, and file correspondence, articles, records and other documents. Maintain and update Office of The Comptroller of the Currency and Federal Reserve Board correspondence book. • Greet and screen personal visitors, handle the President’s calendar and exercise tact, judgment, initiative, and extensive knowledge of executives’ functional area to determine those who can be handled by subordinate officers and staff of other offices. • Make travel arrangements for President and other senior officers as needed. Maintains Presidents calendar, reminds President of scheduled appointments and meetings, and assembles documents, reports, and other information as required to prepare for meetings. Ensures that participants are informed of meeting dates and times, and have the necessary information, documents, and so forth. • Receive, open, sort, and distribute incoming mail directed to the President. Review memos, correspondence, reports and other material prepared by others for the Presidents signature for format, typographical accuracy, and ensure that necessary background material is attached. • Adhere to current compliance standards. • Adhere to current standards of service performance. • Performs other related duties as assigned. Knowledge, Skills and Abilities • Sound working knowledge of the overall operations of the President’s office • Ability to establish credibility and rapport; is friendly and personable • Excellent communication and interpersonal skills • Ability to communicate and function professionally with all levels of personnel and business partners across the organization • Excellent customer contact skills; comfortable asking questions and strong listening skills • Must stay current on operational, product, and system changes/enhancements, as well as demonstrate good risk management decisions. • A certain degree of creativity is required. Training and Experience • Bachelor’s Degree desired • 3-5 years senior level administrative support experience at a financial institution • Advanced knowledge of Microsoft application (Word, Excel, Access, etc.) • Excellent communicative and interpersonal skills. • Fundamental understanding of profitability • Complete ongoing compliance training If qualified and interested, please forward your resume as a Word.doc attachment to: JillR@AplusPersonnel
