KEY RESPONSIBILITIES: ● Be responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as other employee, to coordinate a variety of complex executive meetings. ● Assist executives with preparation of presentation materials ● Independently provide high quality support that anticipates needs, including – proactively managing calendars; coordinating of internal and external meetings; screening and prioritizing of incoming mail and phone call. ● Planning, booking and coordinating domestic and international travel. ● Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary ● Assist in preparation and management of reports (e.g. board reports, financials, meeting minutes and etc) ● Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner ● Maintaining contacts on email, twitter, linked-in and various other networking websites. ● Compiling, maintaining and submitting expenses for all executives ● Miscellaneous tasks as it comes up. Examples listed but not limited to: gifts, visa, translation, purchasing. SKILLS & QUALIFICATIONS: ● Candidate will ideally have 4+ years experience supporting at the executive level ● Fluent in English – reading, writing and speaking ● Previous overseas travel is a must ● Excellent calendar management and organization skills, including the coordination of complex executive meetings ● Experience assisting management with the creation of PowerPoint presentations ● Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook ● Basic knowledge of Photoshop skills ● Experience scheduling travel arrangements for management. ● Excellent information gathering and information monitoring skills ● Excellent problem analysis and problem solving skills ● Flexible, detailed oriented, understand priorities and have a positive attitude ● Proactive, self-starter and should be able to deal with confidential and sensitive matters.
