Executive Assistant to the VP of Talent Development & Human Resources: Details: We are an authorized dealer for such prestigious brands as ADT & DSC. This position will report to, and working directly with, the Vice Presidents of Talent Development and Human Resources. The primary responsibilities of the Executive Assistant for Talent Development and Human Resources include general administrative and technical Talent Development/HR support for the VP’s of each of these teams. The support functions required for this role include, but are not limited to, the responsibilities listed below. In order to fulfill these tasks successfully, this individual must exhibit strong judgment, diplomacy, discretion, and a high level of confidentiality. Essential Functions: Manage Calendars Schedule Meetings Prepare Agendas & Meeting Materials Take Meeting Minutes (during meeting & huddles facilitated by the VPs of HR and Talent Development) Compile & Organize Data for Quarterly Reports Gather & Arrange Information for Meetings & Presentations (i.e., Talent & Comp, Risk & Finance Committee, Board of Directors, etc.) Arrange Travel Assist with Interdepartmental & Corporate Communications; work closely with communications to ensure consistency across teams Relationship Management with External Partners Manage & Maintain Departmental Budget Track Vendor Commitments Maintain a working knowledge of the executive’s duties, so as to be able to effectively schedule appointments. Consult with the VPs, HR and Talent Development for direction on priorities, challenges and opportunities. Anticipate the needs of the VPs, HR and Talent Development to help stay in front of key commitments and deadlines. Assist the VPs, HR and Talent Development in proactively recognizing responsibilities assigned in executive meetings by reading incoming meeting notes. Manage and coordinate all HR/Talent Development meetings/events led by the VPs of HR & Talent Development Coordinate with the VPs’ direct reports to ensure maximum growth in their respective departments Monitor/manage email, respond/distribute/file as necessary Maintain high level of confidentiality of all corporate, personnel, research, personal and non-routine information that comes in and out of the offices of the VPs. Prioritize and manage multiple projects simultaneously and follow through in a timely manner Approve/deny invoices, PTO, DLA activities, expense reports etc. according to guidelines on behalf of the VPs Responsible for schedule and calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings. Anticipate the needs of the executive and proactively bring together appropriate people and other resources to support the executives in addressing issues. File and retrieve all appropriate corporate documents, records, and reports. Facilitate daily one-to-one meetings. Screen all telephone calls, inquiries and requests for the executives. Serve as a positive professional ambassador of Defender’s leadership and culture at all times. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Perform all other duties as assigned dlvr.it/7TDgcR
