FINANCE AND ADMINISTRATION MANAGER, Job description. To support the development of an financial, human resources and procurement strategies, optimising opportunities and cost effectiveness Develop, communicate and manage, functional and corporate strategies, policies and procedures Ensure that all Finance and administration procedures are consistent with corporate and professional standards and are clearly defined and understood and are operated effectively throughout functions. Ensure effective, timely and accurate functioning and monitoring of the complete Tally Accounting system, Contribute to the design of and oversee the preparation of regular (weekly, monthly/quarterly and annual) management reports to meet the needs of Executive Director Support the Executive Director and other function Managers, in the preparation of function budgets, as well as the annual Company budget and manage the preparation of financial projections/forecasts on a regular basis that are necessary for effective monitoring and review. Ensure effective Asset management in close liaison with Logistics and other function of the business Liaison with bankers and tax authorities for financing consistency and compliance issues Manage both statutory audits, tax and internal audits and reviews for data consistency and reliability Manage day to day operation of the finance function within the company to ensure high standards and quality of team and reports Working Capital management by ensuring proper payable and receivables management procedures in place in line with Company policies. Cost management and analysis to ensure business optimization and profitability To be responsible for the effective performance management of all staff reporting, ensuring assessment, development and performance management against objectives and organisationally agreed competencies. Lead, motivate and support the Finance, Human Resources, logistics & IT staff in direct line management to work effectively together in their jobs. Establish effective relations with other managers to ensure adequate flow of information, reporting and implementation of sound controls system in all functions in line with company policies, standards and best practices Present reliable and accurate monthly reporting to all functions and budget holders indicating budget Vs Actual variance and key highlights/ comments on monthly performance. Ensure existence of proper performance management system, reward structure, placement and disciplinary procedures Manage compliance to Labour laws and all labour related pest practices Ensure consistent and transparent recruitment, retention and management procedures to ensure employees alignment Develop , implement and Manager proper talent’s management procedures and processes for Company sustainability and Individual development To ensure the provision of quality support in logistics, including procurement, warehousing, transportation and asset management. Oversee implementation of proper logistics and supplies policies and procedures to ensure efficient in conduct, economy in sourcing and effectiveness in implementation of the function strategies Manage the stores function to ensure proper tracking of materials and spares, implementation of proper stores procedure, valuation and monitoring Manage the IT function of the business to ensure reliable IT systems up and running all the time Liaison with service providers licensees and other function to ensure adequate and timely IT support Ensure team SMART performance management system Effective participation in management meetings and provide expertise on the area of specialty, comments and insights on function progress against corporate objectives 1. COMPETENCY REQUIREMENTS: 5.1 Education Qualified Accountant with Bachelor degree in Accounting or equivalent from a recognised institution, MBA is an added advantage. 5.2 Expertise Computer literacy (Advanced Excel, Ms Word and Ms Power Point) including accounting software and packages preferably Tally.
