FUNDRAISING: Hi All, There seems to be a big trend for team fundraising this year which the club supports, however there are guidelines and rules involved in doing this which all teams should be aware of and adhere to when considering fundraising: 1) ALL fundraising activities your team has MUST be approved by the Exec committee this means any raffles, chocolates, collecting $2 a week from parents..everything! To do this email eliescha1@hotmail with an itemised list of proposed fundraising activities, how you propose to run them, how you will be recording the money handled and proposed times for the fundraising ie training nights or game days. The Exec will reply to your emails to approve and ask any questions. Any requests we deny we will give reasons for. 2) All funds raised must be banked into the main QHJRLFC bank account. When your fundraising is approved you will be issued with the clubs banking details and instructions. This must be done within 7 days of the fundraising activitys completion date. 3) With the exception of raffles any exchange of money must be recorded (raffles you must just record total sales of raffle, and attach receipt for expenses incurred ie raffle tickets, prizes). So if you are collecting $2 a week from every player, you must have some sort of recording method. It could be a book with players names and every time you receive the $2 you record on the sheet and have parent initial this. If any person requires a receipt you must have one available to give them. 4)You cannot solicit money outside of the club as a donation. An end of season trip or party is not a charity and therefore soliciting donations is not acceptable. If you have any questions about this please let me know. Also as a side note - if anyone is fundraising to purchase tracksuits/shirts etc as the QHJRLFC logo will be used, approval needs to be given at a committee meeting by the majority attending. If you want to order something like this please remember this meeting is only held monthly so timing needs to be considered for this. Exec Committee.
