Finance Manager | KickStart KickStart is a non-profit, social enterprise with a mission to take millions of people out of poverty quickly, cost-effectively and sustainably, and to fundamentally change the way the world fights poverty. We believe that development can be done most effectively through a private sector business model, and we identify profitable business opportunities open to hundreds of thousands of very poor people and then, design, manufacture, market and sell simple tools that poor farmers buy and use to create profitable family enterprises. KickStart Zambia programme is funded by IKEA Foundation of Sweden. The programme requires the services of a Finance Manager. Nature and Scope The position reports directly to the Country Director and works closely with the Director of Finance in the Kenya Office and Program Staff responsible for managing the programmatic aspects of the organization. Job Purpose The Finance Manager has responsibility to undertake the day to day financial support of KickStart operations. The position will work to ensure KickStart maintains high standards of financial integrity and accountability. The role is integral at the program level and is responsible for the day to day management of the financial functions of the Country Office. Key Result Areas 1. Timely and accurate recording of transactions 2. Timely and accurate production of financial reports 3. Zero tolerance of non–compliance with internal controls, systems and policies 4. Timely and accurate production of financial reports Financial Management: 1. Maintain, prepare and reconcile all records of income and expenditure and preparation of monthly and annual financial reports. Ensure that there is proper accounting and financial control over all income received and expenses incurred. 2. Ensure strong systems of internal control are implemented and followed, specifically: Payment of accounts and banking of cash receipts in a timely manner. 3. Maintain a petty cash system and reconcile monthly. 4. Maintenance of organizational Asset Register. 5. Maintaining the Financial Policy and Procedures Manual on a continual basis. Develop and review accounting policies and procedures to ensure optimum effectiveness across all aspects of the organization’s operations. 6. Assist in preparation of elements of the annual budget in consultation with the Program Manager and other functional managers, Budget & Grants Finance Manager and the Director of Finance in the context of goals set by the organisation. 7. Management of weekly and monthly cash and cash flow process by keeping all the finance/accounts books up to date to a point where it would be easy to extract current cash balances on a day-to-day basis. 8. Payroll management in compliance with all statutory regulations. 9. In coordination with the Sales & Marketing Managers, develop a credit management policy for debtors that ensure all outstanding debts are collected on time and that any disbursement of KickStart equipments is done following the laid down procedure. 10. Reviewing business/field advances taken by employees and ensure that KickStart’s policies regarding these advances are adhered to and that all monies are accounted and ensure staff are provided with regular updates of their personal accounts. 11. Ensuring that all the bank accounts held by KickStart are reconciled on month-to-month basis. All these should be reviewed by the Grants & Budget Finance Manager every month before more funds are released into the accounts. 12. Ensure that books of accounts are audited by external auditors yearly and at any other intervals as necessary. Ensuring all recommendations from such audits are implemented. Preparation of financial records for the annual Audit. MINIMUM QUALIFICATIONS, EXPERIENCE AND PERSONAL ATTRIBUTES 1. Grade Twelve (12) Certificate 2. University degree in Accounting, Finance or related field. Advanced degree/professional qualification preferred; 3. Minimum 4-6 years in Book keeping or Accounting experience necessary; 4. Minimum 3-5 years of progressive experience in donor funded organizations; 5. Highly proficient in word processing and spreadsheet applications; 6. Excellent analytical, verbal and written communication skills required; 7. Extremely detail oriented; 8. Familiarity with financial Management Information Systems, Microsoft Navision’s suites such as Donor Vision, Award Vision, ERP and Grant Accounting preferred. 9. Ability to work as an individual and in a team in a fast paced multi cultural environment with strict deadlines and be able to exhibit a sound working knowledge of quality management systems and internal auditing processes; 10. Demonstrated experience in, or knowledge of, the functioning of donor funded non-governmental organizations; 11. Ability to communicate effectively with/to people.
