Finance and Administration Assistant- Baghdad Danish Refugee Council Overall Objective: The Finance Admin Assistant supports the Finance Admin Officer in all financial, admin and HR issues of the DRC office in Baghdad Core responsibilities: • Assisting Finance Admin Officer in managing petty cash for Baghdad Office. • Assisting Finance Admin Officer on daily financial data entry into the standardized DRC cashbooks. • Assisting Finance Admin Officer on perform cash counts with Program Coordinator on a weekly basis. • Assisting Finance Admin Officer in ensuring timely payment of the national staff salaries and all suppliers/partners’ invoices. • Assisting Finance Admin Officer finalizing cash books for submission to FAM on a monthly basis. • Scanning vouchers and other documents of DRC Iraq to submit to Erbil Office or Headquarters. • Verifying that any transaction is supported by proper supporting documentations as per DRC’s financial rules and regulation and proper authorization is obtained prior releasing a payment. • In co-ordination with administration and logistics, to update DRC inventory/asset list on a monthly basis • Assisting Finance Admin Officer in any HR related issue (Recruitment, Contracts, Payroll, etc.) • Assisting Finance Admin Officer in any admin related issue (rental contracts, car rental contracts, communication arrangements, etc.) • To monitor stationaries and office supplies, and to prepare an order request when needed. • To manage travel arrangement (ticket booking), as well as meeting/workshop requirements. • To ensure personnel timesheets are filed on a monthly basis before payroll • To maintain expatriate’s visa control sheet and to liaise with PSDC and PR Officer for extension • To update contact list for monthly distribution. Other • Any other duties as may be assigned. • Conduct duties in accordance with DRC Iraq programme Standard Operating Procedures (SOPs) • Conduct duties in accordance with DRC Code of Conduct • Make sure to spread a positive image of DRC and its activities by explaining what DRC is doing and why DRC operates in that way. Reporting Arrangements: Reports to: Finance and Administration Officer Type of Contract: Until end of 2015 Possibility of extension dependent on performance and availability of funding. Desired starting date: 4th Jan 2015. Skills Essential: Qualification and Experience: • Relevant university degree or similar education • Minimum of two (2) years’ experience working in a similar position. • Strong written and mathematical skills • Experience of managing and handling cash • Experience of working with UN or Non-Governmental organizations. • Good communication skills with fluency in written and spoken English and Arabic • Excellent reporting skills. • Flexible approach to manage and prioritize a high workload and multiple tasks with tight deadlines • Confident & proficient in the use of MS Office, with advanced Excel proficiency • Good social skills to establish strong working relationships with colleagues • Due to the nature of the tasks to be performed, confidentiality is a requirement. Preferred attributes • Strong organizational skills • Ability to prioritize large and changeable workload • Good communication skills and ability to work as part of a team • Able to work independently and energetically Competency profile: • Good computer skills (especially MS Word and Excel).
