IBPS INTERVIEW GUIDANCE (N.M. MISHRA) In the toughest era of IBPS PO entrance its quite obvious that cut offs are going to be low for instance if we see the last years it was 61 for general category. So the final destination of landing a job now remains in the hand of strong interviews. Instead of waiting for results and dreaming about cut offs it would be ideal if you can start your inter view preparation right in advance in order to be ahead of other competitors. A practical question can be surely asked about the job profile of a PO or what do you feel what you need to do after getting appointed as PO. All these questions can be asked to check your maturity level and keenness for the post. A PO will initially have to work as a Cash Officer. Roles and Duties of a Cash Officer 1) Daily Reports: Being a cash officer in a CM (i.e. Chief Manager) or SM (i.e. Senior Manager) Branch will leave a sole responsibility on Cash Officer related to deposists or Liability Side of Banks Balance Sheet. So after reaching the branch early in the morning (9: 30 AM) Cash Officer need to get a print out of the General Ledger/ Profit & Loss A/C/ Day Book / Branch Exeptional Report from system and get it signed by Branch Manager. Then it may be handed over to substaff for filing purpose. 2) Day to day business transaction: Through out the business hour of bank, cash officer is suppose to pass all the cheques/ withdrawl slips that are coming for payment. Since cash officer are the checker (bank works on a maker/checker mode). So they have to check all the entries that are entered by maker. Basically in case of cheques/ withdrawl slips, cash officer will have to ckeck the amount entered on cheque/withdrawl slips, account number and signature as well as the date as the concept of stale cheques comes into play. (Stale Cheques are those cheques which are issued more than three months back from current date). 3) NEFT/RTGS: The other important work that will keep the cash officer busy is the verification of NEFT/RTGS. Entry level work may be done by clerks. In case of RTGS/NEFT keep in mind the A/C No from which the amount is to be deducted/ debited. (Most of the RTGS/NEFT are done through A/C, and banks generally do not entertain cash transactions in case of RTGS/NEFT). Then the amount of transaction is vital. Then the IFSC Code of the bank where the party (whose A/C is to be credited) is maintaining his A/C. One thing the Cash Officer/ others must keep in mind that the modern day system is so customer friendly that after entering the IFSC Code the system will automatically fetch the branch related details as linked to the concerned IFSC Code. After that the cash officer is suppose to check the A/C No of the party whose A/C is to be credited, also check the party’s name to restrict any kind of fraud/ wrong transfer. UTR No needs to be noted down and hand over to customer in customer copy of NEFT/RTGS form. 4) A/C Opening: Being a Cash Officer you will be given the charge to increase deposits of your branch (it will be a positive impact on your service record). CASA/ Term Deposits can be incurred by visiting field/ corporates and try to convince them to open a/c, apart from that the network of present customer’s is also handy to increase the branch deposit base. So servicing present customer base and keeping them happy will be handy to induce them to help you to get more customers from their network. The incoming customer’s who are coming for encashment of cheque/ making of DD’s ( but not a permanent customer of bank ) can be tapped and persuaded for opening A/C. Under the Prime Minister’s Jan Dhan Yojana (PMJDY) era, the burden on clerk is to much, so if you share the responsibility with them then it will help to keep your fellow companions in good terms with you . Apart from that on a general course of action you need to verify the accounts that are opened by clerks, after verification of the accounts it becomes effective. The signature of customers need to be scanned into the system by clerks and you need to verify those. 5) Closure of Accounts: All actions pertaining to the closure of accounts are also to be taken care by cash officer. Generally clerks do the entry level work related to closure of accounts and you need to verify it. Being a cash officer, it would be good if the customer’s who are there to close their CA/SA due to certain issues related to service are handled well and resolved such that they can be persuaded to continue their account without hampering the CA/SA level of branch. The closure of RD/FD’s in the same way should be handled well by the Cash Officer such that they can be renewed when matured as per the current scheme of bank, after a detailed discusiion with the customer. 6) Issue of Cheque Books/ATM: It is another prime task of cash officer to issue cheque books (basically to CA/SA/OD Account holders) and ATM cards to customer or get it entered by clerks in system and register and verify it accordingly. Since cheque books/ ATM cards are security item of bank so the stock needs to be properly maintained with the help of register. Apart from that what ever cheque/ ATM are issued to customers also needs to be entered in system as well as register (for record). An application needs to be obtained from the customer at the time of request of a new cheque book or ATM Card. 7) Loss of ATM Card: Many a times Cash Officer will receive request from customer related to blockage of card as the card may be lost/mis placed by the custom. In this case Cash Officer must educate the customer that the card can be blocked immediately by the customer by calling card help desk instead of coming to branch (to avoid risk of card being used by unauthorised user). An application must be obtained from the customer related to blockage of card and after that same should be entered in system and information be relayed to Card Division –HO for blockage of card. A new card can only be issued after obtaining a copy of FIR relating to loss of card and charges for a duplicate card must be taken from the customer. 8) Other ATM Issues: Some times a customer may complaint that the cash was not dispatched by ATM machine but deducted from Account or similar issues. In this case a ATM Dispute File should be maintained in branch where such compalint applications can be kept for record. With the consultation of Branch Manager/Regional Office, Cash Officer should try to resolve such issues as soon as possible. 9) A/C Statement: Customers will come and request for A/C Statement for a particular period. Cash Officer needs to service the request of customers related to Account Statement. 10) Deposit Slips: All the deposits made in various Accounts are done with the help of an instrument called deposit slips. Such slips are entered in system by clers who sits in cash and accepts the deposits. After business hour Cash Officer is responsible for verifying all the cash deposit slips after looking whether correct amount is deposited in correct account or not. 11) Clearing: In a branch every day there will be Inward Clearing (i.e. when cheques of your bank say Vijaya Bank Cheques are deposited in other banks and in clearing house you collect them for passing and further action) and Outward Clearing ( i.e. when cheques of other banks say HDFC Bank, Dena Bank, HSBC Bank etc are deposited in your bank say Vijaya Bank and such instruments are carried to clearing house for handling them over to respective banks for passing and further action). Both the clearing will be the responsibility of clerks in charge of clearing and Cash Officer. Signature, stale cheque is a vital component when ever entries are made in system. In bigger cities now CTS (Cheque Truncation System) is followed where the physical movement of cheques is not required. 12) Cash Closed: The cash in cash box and the cash packets which needs to kept in safe needs to be counted and verified by Cash Officer at the end of day. Cash Remittance to SBI or other banks as the case may be is also done under the ambit of Cash Officer. Apart from all these duties administrative work like installation of cash counting machines, maintenance of machines and there AMC’s needs to be taken care of.
