INTERNAL ADVERTISEMENT FOR VACANT POST Please note to email applications to directly to recruitment@mtn-southsudan Applications are invited for the post of Personal Assistant Department: CEO’s Office Reports to: Chief Executive Officer Closing date: 25 October 2013 Location: MTN South Sudan Head Office MISSION/CORE PURPOSE OF THE JOB To provide an efficient administration, secretarial and office support service to the CEO, as well as the Executive Committee in MTN South Sudan. RESPONSIBILITIES • Coordinate the CEO’s and Exco members’ diary and make appointments for various meetings. • Maintain an easy and accessible filing system • Prepare and co-ordinate correspondence by e-mail, letter and memo. • Prepare and collate presentation documents • Take minutes at meetings as and when required • Manage leave / sick register and keep up-to-date record of leave schedule of Exco members. • Action urgent communication appropriately in instances where the CEO is unavailable • Cross-examine documents for CEO’s review to ensure quality control and compliance to MTN policies. • Handle assigned Exec’s internal and external designated correspondence. • Manage the CEO’s (and upon request other EXCO members) office petty cash • Assist with administrative tasks as required from time to time. • Co-ordinates faxes, e-mails, office supplies and stationary. • Respond to customer queries and requests on non-technical issues and escalate to the CEO when necessary. • Travel, conference and event bookings for CEO & EXCO • Create a database of contacts for Hotels, International & National Companies, Restaurants, UN Agencies , International NGOs, Embassies and Government Ministries. QUALIFICATION AND EXPERIENCE Education: • Secondary Certificate • Secretarial Diploma Experience: • 3 years demonstrable experience in secretarial, personal assistant or administrator position to Senior or General Manager • Experience in working in the corporate environment TRAINING • Above average expertise in Microsoft Office – Word, Excel, PowerPoint • Time management. • Customer Service etiquette. • Oracle KNOWLEDGE • In-depth knowledge of Administrative standard operating procedures • Policies and procedures • Working knowledge of the roles and responsibilities within the business area. • Stakeholder Management • Crisis Management • Reporting Preference will be given to South Sudanese nationals.
