ITREC 2015 : We need YOU! It’s that time of year again where we determine Managers and ride dates for the coming year! Please look over the open positions below and consider whether you (or someone you know) could fill them. The contact information is listed on each in case of questions. For planning purposes, the tentative ride dates for 2015 are June 13-14, Sept 12-13 and Oct 24-25. Assuming the core positions are filled by December 20, there will be a meeting on January 3 to inaugurate the new managers. Do your part to ensure the fun and partnership of ITREC continues and help other riders Ride * Laugh * Learn ! Being a part of making it happen is fun too! 1) Director of ITREC * (1 for entire year) - Oversees all areas of ITREC, ensuring all tasks are on target for completion by ITREC managers by deadlines, recruits assistance from others where needed - Coordinates and executes agendas for ITREC events, ensuring all necessary tasks are assigned - Ensures ITREC rules / codes of conduct are enforced by ride staff - Ensures ITREC is continuing to be promoted, questions are being answered in a timely fashion and there is good communication among and between ITREC staff, ITREC members and others who associate with ITREC - Tracks memberships, ride registrations and maintains ride rosters for each ride - Assigns stalls, closing stall reservations when they are all reserved - Shares ride roster for each ride with ITREC managers, as well as the number of riders for each ride day to Wesley Woods, the day following registration close Cannot compete Est time commitment: 4 hours per month + 5 hours the week preceding ride weekend + entire ride weekend ?s – Susan: HorseHugR@aol 515-343-4744 2) Ride Manager * (1 for entire year OR 1 for each ride weekend) - Prints rider numbers for each ride based on roster provided by Director - Coordinates the rides, plans and executes ride agenda, ensuring the ride runs as planned from rider arrival on Friday through cleanup after awards on Sunday - Enforces ITREC rules / codes of conduct are enforced at rides - Handles any problem situations or emergencies in conjunction with Wesley Woods staff - Assigns judges and assistants to obstacles for each ride day (coordinating with Obstacle Manager when necessary) Cannot not compete Est time commitment: 3 hours per month + 5 hours the week preceding ride weekend + entire ride weekend ?s – Susan: HorseHugR@aol 515-343-4744 3) Assistant Ride Manager (1 for entire year OR 1 for each ride weekend) - The right-hand person (“ARM”) for Ride Manager as needed, ensuring tasks get performed on time, agenda stays on schedule, situations are handled, score sheets are reviewed and checked as they come in, etc. Cannot compete Est time commitment: 1-2 hours per week the 2 weeks preceding a ride weekend + entire ride weekend ?s – Doreen: DrnDvs5@gmail 515-250-2018 4) Obstacle Manager - Creates obstacles, builds obstacle props and sets up obstacles at the ride - Creates/prints obstacle description sheets for riders/judges with performance criteria for each divison - Creates/prints judges sheets - Determines order/arrangement of obstacles for each ride day working with Wesley Woods regarding placement of obstacles on trail route Cannot not compete Est time commitment: 10-20 hours per ride depending on whether props need to be built + 4 hours per ride to set up obstacles Friday afternoon/evening and Saturday afternoon/evening ?s – Doreen: DrnDvs5@gmail 515-250-2018 5) Judges Manager - Recruits judges and assistants for each ride (one judge per obstacle per day and assistants as needed), explaining their roles and commitments - Communicates judges’ and assistants’ contact information to the Director and Ride Manager Est time commitment: 2-3 hours per ride ?s – Doreen: DrnDvs5@gmail 515-250-2018 6) Prize Manager - Works within budget to purchase ribbons, buckles and door prizes - Handles award presentations on ride day Est time commitment: 5-10 hours throughout the year + 2 hours per ride day ?s – Doreen: DrnDvs5@gmail 515-250-2018 7) Sponsor Manager - Recruits sponsors - Advertises sponsors on facebook/website/flyers and signage throughout the year and at rides - Ensures obligations to sponsors are fulfilled Est time commitment: 5 hours early in the year + 1 hour per ride weekend ?s – Susan: HorseHugR@aol 515-343-4744 8) Treasurer - Manages bank account and PayPal account - Tracks deposits, pays amounts due including quarterly state sales tax and annual income tax - Maintains budget, communicating with managers regarding availability of funds as needed - Helps track memberships and rider registrations with the Director Est time commitment: 1 hour per month + 2-3 hours the 10 days preceding the a ride weekend ?s – Susan: HorseHugR@aol 515-343-4744 ITREC is run solely by volunteers, so in order to continue, there must be people willing and able to fill the necessary positions. If the positions above that are marked by ‘*’ are not filled by December 20th, ITREC will not continue in its current format, (if at all).
