Immunization Admin Asst Location: Omaha Job Code: 0250 # of openings: 1 Description This employee provides administrative support to the VNA immunization program. Understands and commits to the agency mission. Performs all duties and responsibilities listed herein, as well as other duties that may be assigned. DUTIES AND RESPONSIBILITIES: FINANCIAL: Meets all documentation and productivity standards as identified by the agency. Collects cash, checks, credit card slips from client and gives client receipt. QUALITY: Complies with all policies and procedures of the agency, including those specified in the employee handbook. Attends orientation. Reviews Immunization Clinic Administrative Assistant Procedure Manual and job descriptions of RN and administrative assistant. Obtains accurate Medicare and insurance numbers. SERVICE: § Screens client paperwork at EHN/EHA school based clinics. Arrives at clinic site 15-20 minutes prior to start time. Reports to charge nurse at clinic site if the immunization coordinator for that clinic location. Ensures that all necessary supplies and forms are available. Handles money for making change, client’s credit cards, consent forms, information forms and promotional brochures. Reviews the procedure for Medicare and BCBS EHN insurance screening and forms completion etc. Assists charge nurse to determine client flow, with input from the site’s contact person so clients will proceed efficiently. Scans insurance card and ID card, if applicable. Collects payment from client if they do not have coverage through the BCBS EHN/EHA network. Type of payment should be marked at the bottom of the clients consent form. Checks consent form to determine that all demographic, insurance and screening questions have been answered and are legible. Compare clients insurance card information for accuracy with what is on the consent form. Makes certain that the form is signed and dated. Offers client information sheet(s) with receipt. Retains a copy of credit card information and cash change. Initials the top right corner of the consent form to confirm all information on the consent form has been verified and is accurate. Reminds client to remain on site for at least 10 minutes and return to nurse if symptoms occur. Assists nurse(s) in cleaning up of the work area, ties trash bags, placing new liner in trash can and packs up supplies and paperwork. Counts money with charge nurse, leaving ten $5 bills in moneybag for next clinic. Assists charge nurse with the completion of the Clinic Report Form by sorting consent forms as appropriate. Assists charge nurse with placement of Clinic Report Form, cash, checks and credit cards slips in money envelope. Assists charge nurse with placement of consent forms in large clinic envelope. EXPERIENCE: Knowledge of VNA policies and immunization program procedures. COMMUNICATION: Effective professional communication skills, both written and oral. Ability to read, analyze and interpret appropriate periodicals, regulations and correspondence pertaining to area of expertise. Ability to present information and respond to questions from employees, clients, managers and the general public. REASONING SKILLS: Ability to solve practical problems and deal with a variety of standards effectively. Ability to interpret a variety of instructions furnished in written or oral form. Ability to prioritize, check for errors and spot inaccuracies. Ability to predict the logical outcome of various choices and to make good decisions. PHYSICAL REQTS: Requires full range of body motion, including unrestricted lifting, pushing and pulling capability. Corrected vision and hearing within normal ranges. Ability to sit, stand, walk, drive, crouch, bend, kneel, climb stairs, lift and carry bulky/heavy items and use strength and dexterity to deliver safe and effective home health care on the basis of need and in accordance with agency policies and practices. ENVIRONMENT: Potential exposure to communicable diseases and bodily fluids. Ability to work irregular hours and under stressful conditions. DRIVING/INSURANCE: Must maintain current driver’s license and auto insurance coverage within the limits specified by VNA’s liability insurance carrier and stated in the VNA employee handbook. Must provide proof of license and insurance upon request and have access to reliable transportation. Must maintain an acceptable driving record as set forth in VNA’s policies and procedures. LICENSURE: None. COMPETENCY Demonstrates competencies as defined by the agency for this position.
