Information of 4/2013 HOA Meeting. NOTICE OF 2013 ANNUAL HOMEOWNERS MEETING OF THOMAS TRAILS HOA, INC. TIME AND PLACE: April 3rd, 2013 at 6:30pm (sign-in at 6:15), at the Edmond Public Library, 10 S. Boulevard Street, Edmond, OK 73034. AGENDA I. Call to and Welcome - Verification of Quorum Quorum. Except as otherwise provided in these Bylaws, the presence in person or by proxy of one-third (1/3rd) of the owners (if voting is disproportionate owners shall mean the number of votes) shall constitute a quorum. In the event a quorum is not present, then the meeting called shall be adjourned, and, if notice has not already been given, notice of a new meeting for the same purposes within two (2) to four (4) weeks shall be sent by mail, at which meeting the number of owners represented in person or by proxy shall be sufficient to constitute a quorum. An affirmative vote of a majority of the members either in person or by proxy shall be required to transact the business of the meeting. II. Financial Report -Account Balances -Major Expenses -South fence repairs, South park, lawn maintenance and spraying -Dues -collection of past due accounts. As of 1/31/13 we had 7 liens and $8950 in outstanding dues from 2012. -clear up any confusion from this year’s notice III. Discussion of Association Priorities -Cleanup North Park treed area (Pitzers…Rochelle) -South Park maintenance and upkeep (Rochelle) -landscape and sprinklers along Covell (Rochelle) -improve entry signs… Is it time for new signs? -overall appearance of neighborhood (trailers, abandoned vehicles, parking in yards, trash cans, colors of roofs) – Will post sections of compliance in FB page throughout the year -Compliance Officers -Yard of the Month -City of Edmond Foster a Tree program It is up to us, the homeowners, to make sure that our neighborhood looks great by maintaining our individual homes and by encouraging our neighbors to take care of theirs. With the rise of rental properties in our neighborhood, many of the renters have no idea what our covenants require from the occupants and to be honest I don’t know how many of the owners who are renting are passing that info along to the lessee. We have sent out multiple letters over the past year to people who were in violation of our covenants…sometimes multiple letters to the same address due to recurring violations. So, I don’t want to sound like we’re out policing the neighborhood for violations, but if we as homeowners don’t due our due diligence to protect our investments, then what’s the use of the HOA as a whole? The HOA is in place to protect our assets and to insure that the properties we’ve invested in hold and hopefully increase in value. IV. New Business -Neighborhood Garage Sale dates (5/4 and Oct?)…would it help to set the fall date? -HOA Public Events through Neighborhood Alliance -Code Enforcement 101 [Tuesday April 9, 2013 from 6:00 PM to 8:15 PM] -Greg and Rick experience from last year’s attendance -Committees -Yard of the Month– We have sign but need a committee to run program -Compliance Officers needed to bring awareness to HOA about neighborhood non-compliance issues -Holiday Decorations at entrances – New committee and organizer needed -Neighborhood Cleanup weekends – Need to set dates. V. Neighborhood Question and Answer period VI. Nominations and Election of Directors President – Rick Callahan – Term expires in April 2014 Vice President – Amanda DeArman – President in April 2014 Secretary - Darlla Duniphil – Term expires in April 2014 Treasurer - Jack Siegman – Term expires in April 2015 Reporter - Rochelle Rooney Vll. Adjournment Other Updates: Thomas Drive Expansion Danforth Widening, Thomas to Fretz & Thomas Widening, Danforth to Covell This project will widen Danforth to a five lane roadway with a left turn lane into Edmond North High School and widen Thomas to a three lane roadway with turn lanes into both the North High School as well as John Ross Elementary. The project includes a signal light at Danforth and Thomas. The City will apply for 80% Federal funds with 20% City funds. Estimated construction cost is $4,890,628.85. The anticipated start date is unknown at this time.
