Inline image 1 Position Title: Administrative Secretary III – Dean of Student Life Office Hourly Rate: $12.30-14.00, DOE, no benefits Job Summary: Performs a wide variety of secretarial and administrative duties requiring coordination of activities within and outside the College, frequent contact on behalf of the supervisor with students, faculty, staff, and community or business leaders. Provides administrative support for two administrators – the Dean of Student Life and the Manager of Student Rights and Responsibilities. Maintains confidentiality when dealing with sensitive matters. Knowledge & Abilities • Organizes conferences, workshops, meetings, campaigns, etc. • Maintains liaison relationships with other administrators and external organizations on behalf of supervisor • Coordinates and provides research and technical assistance on special projects and programs • Screens and routes calls and visitors and provides a variety of information requiring specialized knowledge of the assigned area • Assists in the development of budgets, proposals, schedules • Monitors budgets • Establishes and maintains filing systems, logs, and records • Composes correspondence • Records and prepares minutes of meetings • Researches prices and availability of equipment to be purchased • Prepares invoices for departmental services • Maintains confidential payroll files and processes related documents, including payroll records • Directs the work of other clerical staff • Makes travel arrangements • Formats, types, transcribes, and proofreads a variety of documents • May operate specialized equipment • Performs other activities as assigned Essential Functions 30% - Coordinate office coverage and provide customer service for internal and external stakeholders. 30% - Assist with project management and implementation at the direction of the Dean and Manager. This may include conducting research, managing fiscal resources, purchasing supplies and materials, and coordinating meetings. 30% - Provide administrative support for the student conduct system, discrimination investigations, and the Behavioral Intervention Team. 5% - Maintain a filing system, logs, and/or written records 5% - Recruit, train, and evaluate student employees Minimum Qualifications: • Knowledge of standard office practices and procedures • Strong written and verbal communication skills • Knowledge of technological resources such as Microsoft Office, calendaring programs, and email. • Experience working in an office as a secretary/administrative assistant • Experience with multi-tasking and working independently with little supervision Desired Qualifications: • Experience interpreting and applying institutional policy • Experience working with on-line student information (i.e. PeopleSoft and Maxient) and budget systems (College Financials System) • Experience working an educational environment • Ability to establish cooperative working relationships Special Working Conditions: May require prolonged periods of sitting, standing, bending, stooping, or viewing a computer screen. Possession of valid Class D Arizona driver’s license.
