JOB ANNOUNCEMENT 29th January, 2014 Thabyay Education Foundation, a non-profit organization, is currently seeking a motivated, dedicated and qualified candidate to fill the following position to operate the University Foundation School Program (UFS). Job Title: Program Assistant (UFS- Student Relations and Services) Organization: Thabyay Education Foundation Job Location: Yangon, Myanmar Report to: Program Manager (UFS) Duration: one year (extendable) Closing date for applications: 14 February 2014 Start Date: As soon as possible About University Foundation School (UFS) The aim of the University Foundation School is to build the capacity of committed individuals working for positive change in Myanmar through the provision of courses that will prepare and qualify them to pursue high quality tertiary education programs in the Asian region.UFS has extensive links to universities and scholarship programs within the region that ensure that successful graduates are well placed to pursue their academic goals. The school’s curriculum includes classes in general and academic English, test preparation (TOEFL/IELTS), social studies and global issues and academic skills, including basic computing and critical thinking. Service learning is emphasized throughout the curriculum and students are given ample opportunity to provide direct service to their communities while finding space to learn, question and grow in their knowledge, skills and attitudes. The UFS’s Residential Program supports students from rural communities to relocate to Yangon and pursue intensive studies at the School. Both part-time and full time programs are available to Yangon based students. Job Purpose: The UFS Program Assistant is responsible to handle student relations, administration and management, and to assist and provide support to the Program Manager for the smooth operation of the UFS program. Key Responsibilities: Manage student applications and assist in student intake and selection procedure; Organize orientation, student meetings and oversee arrangements for special school events: welcome party, graduation ceremony, fund raising, etc.; Provide pastoral care to the UFS students (to help solving conflicts, providing health care); In cooperation with the administrative and support team , manage arrangements for accommodation for residential students (rental, lease, application of stay permit from ward authority) and purchasing of the utensils, furniture and equipment and ensure smooth arrival and settle-in of the residential students; Work together with the administrative and support team, monitor the maintenance, safety and security of KKEC and that of the residences and buildings of UFS residential students; Ensure the smooth running of all electronic equipment, office equipment and automation of KKEC. 2 Handle and respond in a timely and appropriate manner to telephone enquiries and other incoming communication, and counsel potential students regarding intensive course; Manage and maintain student information and contact databases; Maintain school administrative systems to ensure the smooth running of UFS programs (attendance, leave, student survey, class evaluation, report cards, course plans, student certificate, teachers’ time-table and relieving schedule, etc.); Supervise the Librarian & Office Assistant in handling daily routine work related to student relations and providing assistance in academic work. Work together with the school management team to ensure that UFS works effectively towards achieving the TEF mission; and Perform other tasks as required and assigned by the supervisor. Experience, qualifications and attributes The ideal candidate should have the following: At least a University Degree in a field related to the post (e.g. Education, Business Administration, Communication, Marketing, Community Development, etc.); Experience in administering education programs and administrative staff is an advantage Good experience in planning, organizing, and communication skills Ability to establish and maintain good personal communication and effective relationships with team, colleagues and good networking with external partners and supporters Good command of Myanmar and English Knowledge and experience in marketing is an advantage Competent in use of Microsoft Office including Word, Excel and Power Point.
