NUMBER OF VACANCIES: 1 ESSENTIAL DUTIES: •Under general supervision the employee engages in the complex clerical duties as described and performs related duties as required. •Plans and organizes the order placement process for all IT Hardware, Software and Services. •Maintains and renews software licenses as required. •Answers Departments direct phone line, schedule meetings, coordinates vacation schedules, secures and dispenses parking passes, greets visitors, secures conference rooms, retrieves departmental mail, accepts requests for computer equipment orders and completes APRF order transaction. Also, must ensure an order’s “Blanket Release” is received by supplier in a timely manner. •Receives computer related equipment, prepares and ships equipment to be returned to various hardware/software suppliers. •Performs the intake of badge applications from airport signatories for review and approval. •Maintains computer Equipment Inventory Databases. Receives and processes all invoices for IT computer/telecommunications equipment and services. •Verifies invoice accuracy, updates invoice status in FMS system. •Creates and confirms APRF’s for direct voucher invoices. Routes completed invoices to Deputy Commissioner for approval. •Schedules shipments of received equipment with the CDA warehouse for delivery to the administration building’s IT storage room. •Duties include the performance of a limited “Help Desk” / call intake function that will require the creation of service tickets using 4-DATA for the dispatch of an IT technician. Additionally, other non-critical problems or inquiries will be logged, diagnosed and routed to other team members for resolution. •Must be able to use typical office features of Microsoft Excel and be able to identify computer hardware and software by sight. •Must maintain current knowledge of computer hardware and software products. •Must be able to match user requirements to available computer products. Zemke Blvd, Chicago SHIFT: Monday – Friday HOURS: 8:30 AM – 4:30 PM THIS POSITION IS IN THE CAREER SERVICE Qualifications Two years of progressively responsible clerical experience, or an equivalent combination of training and experience. Must be able to use typical office features of Microsoft Word and Excel. Must be able to identify computer hardware and software by sight. Knowledge, Abilities and Skills: •Requires a basic understanding of computer equipment, electronic components and their inner-workings and connectivity. •Ability to prepare and maintain statistical reports and computer related documentation. Ability to maintain a timely work flow in relation to established time schedules. •Must be physically mobile and possess the ability to lift moderately heavy computer equipment, approximately up to 20 lbs. Also, packing and moving boxes of computer hardware on wheeled carts may be required. SELECTION REQUIREMENTS This position requires applicants to complete an interview. The interviewed candidate(s) possessing the qualifications best suited to fulfill the responsibilities of the position will be selected. Preference will be given to candidates possessing the following: •Previous work experience verifying shipment orders against delivered products •Previous work experience reviewing incoming correspondence and drafting standard responses •Previous work experience maintaining work activity records and preparing reports •Previous work experience processing computer service requests •Previous work experience maintaining and filing daily work activity logs and records •Previous work experience providing computer related semi-technical verbal support for end-users to address problems •Previous work experience performing office clerical duties such as answering telephones, filing and PC data entry •Previous work experience diagnosing PC hardware and software issues in order to resolve end-user problems •Previous work experience managing a departmental work calendar that records and monitors vacation schedules, preparing meeting invitations and scheduling conference calls •Previous service in the United States Armed Forces •Knowledge of Microsoft Office Applications VETERANS PREFERENCE NOTE: The City of Chicago offers Veterans Preference to both current, active military personnel AND military personnel who have served in the Armed Forces of the United States and have received an honorable or general discharge. Eligible candidates must have at least six months of active duty documented. In order to receive the veterans preference, candidates need to indicate whether or not they are a veteran by answering yes or no to the question on the online application that asks, Are you currently serving on active duty for at least six months in the Armed Forces of the United States OR have you served in the Armed Forces of the United States on active duty for at least six months and received an honorable or general discharge? In addition, you must attach documentation to verify your military service. For veterans, you must attach a copy of your DD214 to your online application which includes character of service status OR a letter from the United States Veterans Administration on official stationary stating dates of service and character of service. For active military personnel, you must attach a letter from your Commanding Officer on official stationary verifying your active duty, length of service, and character of service in the Armed Forces of the United States AND a copy of your military ID to your online application. Failure to answer the question and attach the required documentation will result in you not being considered for the Veterans Preference.
