JOB OPENING - Executive Assistant / HR Coordinator REPORTS TO: Executive Director/Operations Director MAJOR FUNCTION: Provide support and daily assistance to Executive Director & Operations Director; facilitate correspondence and support relationship with CASA’s Board of Directors & Committees; maintain organizational documentation of policies and procedures; coordinate with CASA’s employee leasing company to comply with all human resource needs, administer human resource procedures at CASA. FLSA STATUS: Exempt • Provide support and daily assistance to Executive Director & Operations Director • Support work with the Board of Directors and Committees as well as community members, donors and volunteers. • Coordinate Board meetings, take minutes at the meetings, and arrange for timely duplication and distribution of Board materials. • Assist in monitoring timelines and deadlines for annual organizational requirements such as annual meeting, board elections, board orientation and employee annual reviews. • Coordinate travel arrangements for organization, including hotel reservations, plane reservations and conference registration for organization. • Maintain status as Notary Public to notarize documents for CASA. • Act as liaison between employee leasing company and CASA. • Administer staff recruitment procedures including the placement of ads. • Administer new hire process perform background and reference checks; assist supervisors with introductory periods and anniversary dates. • Administer termination process in conjunction with leasing company, supervisor, and IT staff. Schedule exit interviews. • Maintain confidential employee files, hard copies and on-line database. • Participate in monitoring by funders and assist with self study reports required. • Assist supervisors in tracking required employee training. • Act as coordinator for ADA, Section 504 and Title VI concerns. • In conjunction with CoAdvantage and Operations Director counsel supervisors on human resource issues. • Participate in organizational committees and meetings such as PQI (Performance Quality Improvement) teams and Directors and Coordinators meetings. • Oversee and manage special projects and functions as assigned. Perform other duties regularly or as assigned. Minimum Qualifications - Executive & HR Coordinator will: • Minimum of 2 years experience in administrative or management positions. • Minimum of 2 years of college or life equivalent; a four year degree or life equivalent is preferable. • Proficient in MS-Office suite or other database programs. • Possess excellent written and verbal communication. • Possess the ability to climb stairs and lift at least 50 pounds. • Possess a valid Florida state Drivers License to be annually verified. • Demonstrate a willingness and ability to drive agency vehicles. • Agree to participate in a background check.
