JOB OPPORTUNITY Post Title / Grade: Reference Number: PER 270/01/CNUDHD/2014/10 Post Title: Office/Conference Assistant / GS-4 Grade: G-4 Type of contract: Temporary appointment (four months) Duty Station: Yaoundé, Cameroon Duration: From entry on duty – October 2014 Organizational Cluster: United Nations Centre for Human Rights and Democracy in Central Africa (CNUDHD) ________________________________________ United Nations Core Values: Integrity, Professionalism, Respect for Diversity Description of duties: The post is located in the United Nations Centre for Human Rights and Democracy in Central Africa in Yaoundé. Under the guidance and supervision of the Director of the United Nations Centre for Human Rights and Democracy in Central Africa and in collaboration with the Administrative and Finance Assistant, the incumbent performs the following functions: 1. Maintains an oversight of the Office’s programs and activities; 2. Manages the schedule of official events (common calendar); 3. Receives and directs incoming calls for the Office; 4. Serve as focal point for all incoming and outgoing correspondences, and keeps track of the circulation of information within the Office; 5. Prepares/finalize communications and correspondences; 6. Reads and analyses incoming information, communications, submissions and reports to determine their appropriate follow-up; 7. Supports the Administrative and Finance Assistant in the logistical and operational aspects of sub-regional conferences and other events organized by the Office; 8. Makes travel and other logistical arrangements for staff, meeting participants and the Director; 9. Liaises with service providers and suppliers in obtaining quotations and information necessary for in the preparation of conferences and meetings; 10. Coordinates incoming and outgoing correspondences for the Director; 11. Maintains an updated mailing list of Government, diplomatic corps and United Nations Country Team contacts; 12. Provides office assistance functions to the Director and all staff of the Centre, as required, including photocopying, scanning, mailing, etc; 13. Develops a hard copy and an electronic Office filing system; 14. Coordinates the Director’s programme and schedule of meetings; 15. Coordinates drivers’ schedules, vehicle log book and maintains fuel log book, as guided by the Administrative and Finance Assistant; 16. Performs any other duties as assigned by the Director. Qualifications/Competencies - Completed high school certification, with a minimum 4 years of work experience in fields of office management, office administration, reception duties, conference organization and planning, including logistics, preferably partly within the United Nations system; - Proficiency in English and French, both spoken and written, is required; - Experience in the organization of international conferences, including in making travel arrangements for international participants, liaising with service providers or suppliers for conferences, is an asset; - Outstanding inter-personal skills and proven experience of team work skills; - Experience in working in a multicultural environment; - Knowledge of UN administrative rules would be an important asset; - Proven track record in delivery of quality results against deadlines.
