JOB OPPORTUNITY Seeking qualified individual to fill the following post of Senior Secretary (OPS/SS 3) in the Post and Telecommunications Department, salary range $736,454 - $875,413 per annum and any allowance(s) attached to the post. Job Purpose Under the direct supervision of the Deputy Postmaster General 2, the Senior Secretary (OPS/SS 3) provides secretarial and administrative support to facilitate the efficient operations of the Postal Operations Division. Key Responsibilities Reproduces correspondences, memoranda, letters, reports and other documents from dictation or written drafts Processes correspondence Receives, opens, sorts and distributes incoming mail Records Minutes of meetings Answers the telephones, relays message, screens requests for information and refers non-routine calls to the appropriate members of staff Schedules appointments and maintains diary Faxes/photocopies documents Maintains the filing system Ensures that confidential files are maintained and properly secured Provides information from files and records; Maintains a record of the movement of files Maintains stationery supplies Screens and directs visitors to relevant officer Request relevant files as required Researches and compiles information as required for various meetings Assists in the co-ordination of meetings Performs secretarial duties for Committees Performance any other related duties assigned Required Skills/Competencies Good customer relations and interpersonal skills Good oral and written communication skills Excellent planning and organization skills Excellent time management skills Proficient in the use of the relevant computer applications Good working knowledge of web-based research techniques Knowledge of the operations of Government /Department’s policies and procedures …/2 -2- Minimum Required Qualification and Experience Two (2) or more CXC or GCE ‘O’ Level subjects including English Language; Successful completion of the prescribed Secretarial Course of study at the Management Institute for National Development (MIND) (CAM 2) Proficiency in typewriting at a speed of 50-55 words per minute Shorthand/Speedwriting at a speed of 100-120 words per minute Four (4) to Five (5) years’ General Office experience. OR Graduation from an accredited school of Secretarial Studies Proficiency in typewriting at a speed of 50-55 words per minute Shorthand/Speedwriting at a speed of 100-120 words per minute Training in the use of a variety of software applications e.g., word processing, database and spread sheets; English Language at CXC or GCE O’Level; Completion of the appropriate Office Professional Training Course at the Management Institute for National Development Four (4) to five (5) years’ General Office experience. OR Successful completion of the Certified Professional Secretary course Proficient in typewriting at a speed of 50-55 words per minute Shorthand/Speedwriting at a speed of 100-120 words per minute English Language at CXC or GCE O’Level Training in the use of a variety of software applications Office Professional Training Course at the Management Institute for National Development.
