JOB POSTING OFFICE MANAGER Habitat for Humanity of Metro Louisville is in search of a full-time Office Manager. This position will report directly to the Chief Financial Officer. Qualifications • Associate degree or higher in a related field preferred but not required; a combination of work experience and education may be substituted for degree • Administrative experience required • Familiarity with not-for-profit preferred but not required Necessary Skill Set • Able to manage multiple projects with frequent interruptions • Familiar with basic accounting terms and procedures • Excellent oral and written skills • Able to edit and proofread • Organizationally skilled and detail-oriented • Work well with people of all cultures • Able to adapt and be flexible • Able to perform duties independently and achieved desired results Duties • General Administrative Duties Answer incoming phone calls received on main informational extension, provide information and route calls, as necessary to appropriate party Greet walk-in traffic, route visitor to appropriate party and/or provide requested assistance Maintain inventory of office supplies and logo stationery Maintain office equipment Maintain master calendar for meeting rooms Train and supervise office volunteers Coordinate new employee orientations Provide administrative support to CEO, Board and department directors • Database Management Serve as primary contact and maintain relationship with database operating system company Assist any board committee with data needs including, but not limited to, mailing lists, data updates, data queries (in conjunction with Resource Development Department) Support efforts of users in the design and generation of queries and reports Oversee and perform, as needed, training of staff as a result of changes/upgrades or new hires Evaluate and recommend necessary maintenance/upgrades to database product based on resource needs of affiliate; Coordinate and perform, as necessary, annual maintenance and updates to database • Development – Donor Processing Process donations and acknowledgment letters Maintain house sponsor files • Board of Directors/Habitat for Humanity International (HFHI) Attend Board of Director meetings Prepare and distribute monthly Board materials (paper and electronic copies) Prepare and maintain Board binders Assist Board Secretary with attendance records and meeting minutes Maintain the “Book of All Knowledge (BOAK)” which contains board minutes, resolutions, policies and reports Coordinate and provide administrative support to Nominating Committee and new Board member orientations Send correspondence to Board members, as needed and directed Send Board minutes, financials and contact information changes to the US Support Center at HFHI Oversee data collection and submission of Quarterly Affiliate Statistical and House Production reports to HFHI Maintain policy binder • Technical Assistance Manage IT and phone systems at all Habitat/ReStore locations Evaluate and recommend necessary maintenance/upgrades to IT and phone systems based on resource needs of affiliate; Oversee and perform, as needed, training of staff as a result of changes/upgrades made to IT and/or phone systems Address user issues which exceed minimum threshold (i.e. could be resolved independently) of staff knowledge Maintain relationships with IT contractors • Facilities Management of Bank Street Campus Maintain relationships with contractors Evaluate and recommend necessary maintenance/upgrades Schedule annual building inspections Serve as point of contact for alarm system • Special projects, as necessary
