JOBS in GOLDEN LAND Finance Controller Manager Introduction The Yangon Bakehouse is an exciting new social business established to provide training for unskilled women. YBH targets women whom have been disadvantaged due to social, cultural, economic, religious and/or environmental circumstances and are living under the poverty line with little to no employable skills in the formal economy. The aim of the 10 month programme is to provide basic hygiene, cold kitchen, baking and English skills to women in order to help secure a job in the formal food & beverage sector. The Yangon Bakehouse has three associated sites – a café, production & training center, business canteen. Additionally, YBH provides lunch delivery and catering to individuals, organizations, businesses and embassies. Job description-General Responsibilities: • Manage and supervise the accountants and cashiers as well as provide training and coaching to ensure the finance staff understand their roles & responsibilities and follow the organization’s policies and procedures strictly. • Provide technical support to other departments and management. • Maintain the existing policies and propose for updates or develop new policies or procedures as necessary. • Ensure compliance with taxes and other local laws of Myanmar and that any tax and/or other requirements are submitted to the Tax Office and other relevant government authority timely. Specific Tasks: Accounting Function: • Approve all vouchers (receipt, payment and journal) prepared by the responsible finance staff and ensure the eligibility, accuracy & completeness of the vouchers and supporting documents. • Perform adjustment entries and month-end close of accounting book timely. • Generate financial statements and management reports within the defined timelines. • Review reconciliation of all balance sheet items prepared by the accountants. • Ensure that the financial data is backup properly and is kept in a safe place. • Prepare schedule for external audit and liaise with the auditor. Financial & Budget Management: • Prepare annual budget in coordination with other departments and management. • Control, monitor and update the approved budget and prepare a variance report. Alert relevant budget owner and management for any potential over spending. • Monitor and prepared cash flow and cash forecast report at least monthly to avoid any cash shortage. • Prepare financial management reports and provide key analysis and narrative report for management’s review. • Review and negotiate payment terms & conditions with major suppliers. • Take initiative to follow up overdue invoices of wholesale clients in professional manner. Costing and Analysis • Collect data and review costs of business activities such as raw materials, labour, OH, etc. • Coordinate with the Operation Manager to compute standard cost. • Compute actual cost VS standard cost and prepare adjustment entries. Perform analysis of change in direct costing factors and inform the Operation Manager and management if the standard cost needs adjustment to reflect the current costing situation. • Conduct physical inventory count for significant raw material items periodically. Grant Management • Assist the management in preparation of budget proposals for grant applications. • Review and maintain grant agreements and ensuring of donor’s requirements and compliances. • Initiate a kick-off meeting with the program manager or other responsible person prior to the implementation of the project to ensure they understand the budget lines & program activities under their responsibilities as well as donor’s compliances. • Generate donor financial reports with comparative and variance analysis within the defined timelines. • Submit the donor financial reports to the responsible program manager and management for their review and approvals. • Control and monitor budget line items and inform responsible budget owners/management for any potential overspending. Staff Payroll • Prepare & calculate payroll, salary tax and other government’s requirements for management, staff and apprentices. • Ensure the accuracy of the calculation and timely disbursements. • Participate in annual salary review. • Participate in candidate screening, interview and selection process if necessary. • Prepare and maintain staff contracts and ensure high confidentiality of the staff and payroll data.
