Job : Admin Assistant He/ she provides both clerical and administrative support to professionals, either as part of a team or individually. The role plays a vital part in the administration and smooth-running of businesses throughout organization. He/she is involved with the coordination and implementation of office procedures and frequently have responsibility for specific projects and tasks and, in some cases, oversee and supervise the work of junior staff. Responsibilities: 1- Copy typing, letter writing, dealing with telephone and email enquiries, creating and maintaining filing systems and arranging meetings and appointments. 2- Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, spreadsheets and databases. 3- Devising and maintaining office systems. 4- using content management systems to maintain and update websites and internal databases. 5- attending meetings, taking minutes and keeping notes. 6- managing and maintaining budgets, as well as invoicing. 7- liaising with staff in other departments and with external contacts. 8- ordering and maintaining stationery and equipment. 9- organizing and storing paperwork, documents and computer-based information. Skills 1- Maintain a high level of confidentiality. 2- Manage an office, supervise and train other office personnel. 3- Customer service skills. 4- Communicate clearly and concisely in both written and oral form. 5- Perform clerical and administrative tasks quickly and accurately. 6- Coordinate daily activities and/or schedule. 7- Work independently and organize complex clerical tasks. 8- Ability to be flexible and adaptable in a variety of situations. 9- Excellent copy editing and proofreading skills. 10- work under pressure. 11- Maintain efficient office procedures and a system for keeping track of requested actions and reports. 12- Type from rough draft and keyboard at an efficient rate of speed. 13- Meet strict time lines and perform multiple tasks. 14- Work harmoniously with individuals and groups of employees. 15- Maintain financial records and make basic math computations quickly and accurately. 16- Skill and knowledge in the operation, use and care of office equipment. 17- Knowledge of business English, spelling, punctuation and grammar. 18- Knowledge and proficiency in the use of technology (. computers, word processing, database spreadsheet programs and power point). 19- Accomplish work responsibilities with minimum supervision. 20- Knowledge of the functions of the various parts of the assigned department. 21- Knowledge of alphanumeric filing systems, inventory control methods and methods commonly used in the training for acquiring clerical skills.
