Job Position : Assistant Operations Manager (Equity Appointment) Ref : 1601 - Claire Zonneveld (Gillmer) Location : Port Elizabeth Salary : R20 000 to R23 000 per month inclusive of Provident Fund and Medical Aid + cellphone allowance + petrol reimbursement Qualifications / Requirements: • Logistics or warehousing experience or Diploma • 5 years management experience in a services industry with a proven track record, of which 2 years minimum experience managing a small team • Entrepreneurial with the ability to operate independently • Fully computer literate • Successful track record managing staff • Excellent communication skills and good grooming essential • Ability to work under pressure in consistently / daily changing business world Key Performance Areas: • Process Management: Regional Operations Management: o Maintain operating standards in all the functions of company o Report on operational productivity to Regional OPS Manager on a daily basis o Ensure optimisation of resources with respect to current workloads, controls and minimizes costs o Manage and ensure fast and effective collections and stock deliveries o Ensure that Clients / Mills / Service Providers requests and queries are dealt with quickly and effectively in line with service expectations and that all queries are resolved satisfactorily o Ensure adherence to all company policies and procedures at all times o Refer CAPEX submissions to the Regional Operations Manager o Monitor operational stock levels and record thereof o Ensure maintenance of all company systems and programs o Report immediately to the Regional Operations Manager any exceptions with regards to H&S, business interruption, staff management, any business risks, breach of security to facility/area, client grievance and any other cases related to operational issues and/or cooperate governance • Process Management: Health and Safety Facilities: o Implement a planned maintenance schedule to ensure that routine maintenance on buildings/warehouses/grounds and storage areas is conducted timeously o Respond timeously to operational emergencies such as electrical failures, water leaks, etc, and take appropriate action to address any such emergencies • Vehicles: o Ensure that all vehicles are serviced in terms of their service plans o Ensure that all vehicle licenses and permits are in place and current o Ensure maintenance and optimal usage of vehicles/plants/forklifts/machinery and etc. o Monitors and ensures that all vehicles confirm to corporate identity guidelines and staff strictly adheres to the corporate dress code • Equipment: o Check and ensure that all fire-fighting equipment is inspected and serviced as per regulations o Ensure that all exits are clearly marked, unblocked and visible at all times • Policies and Procedures: o Assist with the development of suitable Policies and Procedures for Health & Safety at the company in PE, ensuring that such policies and procedures conform to current legislation and meet specific company standards and requirements o Maintain a record of activities in the on-line Health and Safety System o Conduct regular safety and evacuation briefings and drills, to ensure that staff are fully aware of the process o Conduct health and safety induction training with new staff members as and when required • Training: o Ensure that all health and safety training is up to date in accordance with the OSHA requirements, and initiate appropriate action to address as necessary o Ensure that any health and safety reps who leave the business, are replaced and trained as and when necessary • Inspections and Audit Reports: o Maintain good record keeping of inspections and service reports, and follow-up on issues identified o Review health and safety audit reports and initiate actions to address problem areas • Security: o Check and ensure that security and monitoring systems are functioning at all times o Ensure that facility lock-up procedures are adhered to o Oversee activities of security personnel o Stay available for call out in emergencies • Risk Management: o Ensure that an effective risk management approach, which conforms to company standards, is put in place and implemented effectively o Assist with the development, implementation and maintenance of the company Business Continuity Plan, on an on-going basis o Review risk audit reports for the PE facility and initiate actions to prioritise and address problem areas timeously • BEE: o Assist with the development and implementation of procedures to maintain and update BEE information required by the company o Ensure that BEE information in the database is accurate and up to date on an annual basis o Respond to queries and requests from company and external entities for specific BEE information • People Management: o Ensure that staff is trained, skilled and that their expertise is optimally applied o Ensure that the working environment contributes to improve staff morale and increase productivity o Actively work with/support the HR Officer to ensure that staff policies and disciplinary processes are implemented appropriately o Support the Disciplinary and Grievance procedures and maintains effective dispute/problem solving mechanisms
