Job Description The Associate Services Department is looking for an Associate Services Administrative Assistant/Receptionist. This position will provide support to the Human Resources department. This individual will assist with Omnis benefits, recruitment, and other programs that help the Associate Services team meet its mission statement, strategic objectives and standard operating procedures. If your interested in this position and meet the hiring criteria please let me know. · Answer all calls to the Center through the PBX system. · Greet all visitors and applicants in a hospitable manner. · Maintain an adequate inventory of lounge supplies. Order all food and beverages for special events. · Ensure supply room is stocked and orderly. Order office supplies, conduct regular inventories and maintain par levels · Contact Landlord and cleaning crew to relay items to be repaired or cleaned. · Ensure office equipment is in working order: Copy and postage machine · Open, sort, and deliver all incoming mail. Process all outgoing mail (FedEx, etc.) and maintain postage machine · Make all Hotel reservations as needed for visitors. Assist visiting hotels with needed items for their presentations. · Handle requests to mail out guest room confirmations and hotel brochures · Applicant reception process o Process applications o Maintain Application Flow Reports o Send TBNT cards o Send Fair Credit letters · Orientation o Create new hire files o Assist with processing of new hire paperwork. o Mail out Talx forms for each new hire class · Maintain associate files and ensure they are kept up to date · Create and maintain mail folders for new hire and terminated associates · Conduct Audits to ensure compliance with Omni policies · Answer Associate inquiries and follow-up on requests · Create and update the Human Resources calendar · Ensure all legal postings are posted and up-to-date · Update bulletin boards on a monthly basis · Update “Creation Station” on a weekly basis · Assist Human Resource staff as needed on projects. · Type documents, reports and file as needed for Human Resource Department · Assist with Employee relations and community relations events · Above average organizational skills and extremely high detail orientation · Above average attendance record and performance track record · Ability to work independently, perform multiple tasks, and meet deadlines · Ability to maintain strict confidentiality · PC literate word processing/spreadsheet · Positive interpersonal skills and customer service orientation · Ability to communicate English effectively, both verbally and in writing · Ability to be mobile between workstation and other offices · Ability to lift up to 25lbs · Personal and mainframe computer, telephone, fax machine Job Requirements 2-4 years of administrative and service experience is strongly preferred. Associates degree or equivalent preferred. Ability to handle multiple phone line system with wireless headset. Candidates must be extremely professional and have a positive attitude. Additionally, must have demonstrated tenure in past positions. Must be proficient with Microsoft Office Suites (Word, Powerpoint, Excel, Outlook).
