MEDICAL SUPPORT ASSISTANT Waterbury, CT Duties: Tour of Duty: 9:00am-1:00pm (Monday-Friday) The positions are located in Community Based Outpatient Clinic (CBOC), Waterbury, CT Campus Performs a wide range of administrative duties. Clerical duties may be assigned in accordance with office procedures of the individual clinics and may include a combination of answering telephones, typing or word processing, spreadsheets, office machine operation, proofreading, accepting orders, scheduling appointments, and sorting mail. Answer inquiries and obtain information for general public, customers, visitors, and other interested parties. Provide information regarding activities conducted at establishment; location of clinics, departments, offices, and employees within organization. Participates with self-direction in processing care of Veterans, functions as a team member in a patient care delivery setting, with emphasis on one stop shopping environment. Incumbent must balance administrative and phone duties based on immediate clinic needs. DUTIES: · Responsible for answering telephones, greeting callers, receiving, and otherwise obtaining information from all relevant sources in order to cancel appointments in computer, according to clinic policies and/or direct calls and taking messages as necessary. Review files, records, and other documents to obtain information to respond to requests. · Documenting/Recording Information entering, transcribing, recording, storing, or maintaining information in written or electronic/magnetic form. Responsible for maintaining individual clinic spreadsheets with regards to cancel appointments, patient contact and cancellation information; using computers and computer systems (including hardware and software) to enter data, or process information. Communicating with supervisors, peers, or subordinates by telephone, in written form, e-mail, or in person. · Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information, take orders and address complaints. This information can be exchanged in person, in writing, or by telephone or e-mail. Transmit information or documents to customers, using computer, mail, or facsimile machine. · Performing Administrative Activities performing day-to-day administrative tasks such as maintaining information files; open, sort and route incoming mail, answer correspondence, and prepare outgoing mail; and processing paperwork. Develop specific goals and plans to prioritize, organize, and accomplish the work. · Provides administrative support, schedules patients for appointments, sends out letter of notification to patient, prepares routing slip and patient questionnaires that are individualized for each patient and checks in the patient. Verifies demographic information, coordinates means testing, counsels patients regarding travel arrangements, makes travel arrangements, resolves transportation complaints and provides patients with questionnaires. Organizes paperwork required for the examination. Uses VISTA and CPRS packages. · Manages patient check out. Schedules future appointments with primary physician. Makes consultation appointments for patients. Collects check out forms. Schedules special procedures and/or testing. Directs patient to lab, radiology, pharmacy, prosthetics, etc. · Ongoing, tracks delays, communicating any problems to appropriate team members or supervisor. Communicates with patients during visits. Answers telephone inquiries, resolving problems regarding scheduling, medications, and provider instructions general call screening. Responsible for communicating any situation that could impact patient care to appropriate team member for resolution. Reviews the EARR report daily for open encounters and discusses with appropriate provider for resolution. Prepares faxes for appropriate providers. Prepares and mails no-show letters to patients. Maintains patient confidentiality and computer security. · Informs clinical staff of any problems encountered. Delivers specimens to the lab in the proper transport container. Uses standard precautions and adheres to accepted safety standards and precautions. · May perform emergency first aid procedures such as cardiopulmonary resuscitation in urgent or emergent situations. Knowledge of universal precautions and hospital safety procedures.
