MINISTRY OF FOREIGN AFFAIRS AND INTERNATIONAL TRADE INVITATION TO TENDER Tender name: DIGITIZATION OF MFA&IT RECORDS AND PROCESSES REF: MFA&IT/TN/007/2014-2015 REF: ADDENDUM NO. 1 ON DIGITIZATION OF MFA&IT RECORDS AND PROCESSES AT FOREIGN AFFAIRS BUILDING, KICC OFFICESAND TELEPOSTA OFFICES, Tender No.: MFA&IT/TN/007/2014-2015 Pursuant to the requirements of the bidding document Section VI – Technical Specifications (2) on the Scope of works, The Ministry of Foreign Affairs and International Trade would like to make the following clarifications to the above referenced tender: · The system should support a manual preferably UHF R.F.I.D technology enabled system. · R.F.I.D tags enabled use of USB connected network and mobile scanners to track movements and locations of file with an audit trail. · R.F.I.D antennas can be placed at doorways and any check point to track the movements of the physical files and automatically update the database with most current locations. · Inventory of physical files to ensure the database remains up-to-date and portable scanners should operate as detectors to find missing files. The service provider should do a full appraisal of the registries and give a definite and comprehensive status. This will result in a successful capture of data and provide an accurate status of the Ministry’s filling status NOTE: The closing date for receiving the bids changes to August 29, 2014.
