Minutes of Saint Joan of Arc ex scholars’ meeting #12 Venue: Saint Joan of Arc school- Year 6 room Date: 24th January 2015 Time: 2:30pm Chaired by: Mrs. Clara Emmitt Members present: Sam Fatiaki, Clara Emmitt, Asat Khan, Tawayaga, Jaheeda Bano, Silvia Vilsoni Apologies: Dolly Bennett, Jason Tuitani Opening/closed Prayer: Asat Khan 1.0 Minutes of the previous meetings was presented to the floor 2. Working Bees • The Project Coordinator stated that the target is to have all the preparation done two weeks prior to the Fete on May 30th 2015. 3. Official Website • The Project coordinator disclosed that a lot of people on the Facebook page are enquiring about an official Saint Joan of Arc Old –scholars’ website. Currently the committee is looking for IT experts who can assist us. If anyone knows of one can you please let us know.. 4. Pledge • The Project Coordinator urge that all old scholars to pledge $10 per month till 2020. The target is get 2000 plus old scholars to pledge. • She also informed that the pledge of $120 per year in the currency of residing country would be appreciated to boost our target of $2M. 5. Bank Details • The Project coordinator started we are still working on having a secure way of having to share old scholars’ bank details on social network. The committee will be seeing the bank manager to clarify on ways of having a secure way of disclosing bank detail, once we have that sorted out then we can welcome ex-scholars pledges deposited into the bank account. 6. Fete: • We are expecting 500 brooms from ex-scholars from Yadua to Naidovi area. • Family friends of ex-scholars are supplying story books for our kids’ stall .To date overseas friends have knitted 100 beanies for our sewing stall. The target is 2-300 beanies at $10 each. • Our Korotogo ex-scholars are looking after our lovo stalls. • Yavulo and Sigatoka villages- we are still waiting on their Reps on inform us of their plans of contributions the the fete.. • Stall Setup- The project coordinator has carefully setup stalls accordingly, She also shared some light on the 26 stalls,eg • Trail Stalls-. For a trail walk we would be reaching out to ex-scholars to help clean the tracks for the trail walk. On the day of the fete we are looking at auctioning Yasi tree (Sandalwood tree) to be planted.Ex students and friends who purchase a tree will have their name and year tag next to the planted tree. This is a major investment towards the school. • Health Stalls - Suggested by Jaheeda Bano & Sai Tawayaga. The health stall to be part of the fete where we have health awareness programs.Jaheeda will be approaching Dr. Dasi re this matter. • Live food Stall: Has been suggested by Mrs. Jaheeda Bano, The stall will have fresh cooked meals upon order on the day of the fete. • Ex-scholars- we are hoping more ex-scholars come on board and contribute towards making it a success • The fete starts 6.30am to 7.30pm on 30th may 2015 • The project coordinator is seeking ex-scholars who have contacts that can provide marquees and sponsors towards the fete. 7. Agenda. Facebook: • The Project coordinator acknowledged that we have almost reached 700 members on Facebook and is urging that members on the page to add other ex-scholar on to the page. On this platform we are able to keep old scholars updated on the progress and updates. • The Committee is working on getting more profile of ex-scholars posted on the site T-Shirt: • The Project Coordinator is working closely with our Nadi rep Sam Fatiaki. The new design will be an improve version in maroon and white. The 1st t-shirt is no longer for sale. Ex scholars who have come to previous meetings have requested to change the colour to maroon &white. Transparency • The project coordinator has stressed that she strongly believe in transparency and legitimacy as we are dealing with a major project. Overseas Ex-scholars • The project coordinator suggested that we should get as many overseas based ex-scholars as possible • Sai Tawayaga stated that she has been using her networks in UK to contact ex-scholars residing in UK. She is also trying to contact a ex-scholars in the US and Australia. Financial Plans • The project coordinator stated that the current financial plan is in place and has welcomed opportunities of more fundraising ideas. Nadi Rep • Nadi rep has been using his networks to find other ex-scholars. • Nadi rep is working closely with Ashwin and Shawn in pursuing the barrel night • Nadi Rep has also stated that ex-scholars are Nadi are on board . Raffle • The project coordinator has stated that we are working towards ideas for the raffle prizes • She also started that we are working on the ticketing price, and sponsorship for prizes by ex-scholars and business house. Project Coordinator thanked ex-scholars present in the meeting, Thanking Sai Tawayaga, Silvia for travelling from Suva for the meeting and Sam Fatiaki (Camra shy) for travelling from Nadi for every meeting. Also to Jaheeda for her presence and ideas. Next meeting schedule for 7th February 2015
