New Job PA / Legal Secretary - Dublin - 12 Months - BBBH8378 Industry: Admin and Secretarial Job Type: Contract Location: Dublin, Republic of Ireland Salary: €0.00 per day + Competitive PA / Legal Secretary - 12 months - Dublin My client re looking for a Full-time position of a Personal assistance/Legal Admin to work alonside Diector, for replacement cover for Maternity leave starting in March for a 12 month contract. In this role you will have relevant experience as this position is for a Directors Personal Assistant. Key Resonsibilities: - You will provide full PA to the Director - monthly expenses, travel requests, checking post to assisting visitors to the Dublin office. - Cover 1 day each week, site administrator while she works off site or is on holidays etc. - Supervise site administrator ensuring the office runs smoothly in terms of day to day facilities, shopping, stationary etc. - Work consistently with site administrator to ensure all procedures are streamlined and work to the most efficient standard. - Manage legal admin team (team of 2) to ensure smooth and efficient running of dubcontracts mailbox. Provide holiday cover where needed. - Provide cover for legal admin during holidays, sickness etc. - Streamline processes based on feedback received to ensure most appropriate and efficient service is provided. - Discuss issues with regard to team with Director as appropriate and maintain SLA to ensure everyone works to the same processes. - Maintain full cover of dubpayments mailbox ensuring all requests (either online or signing) is completed within allocated timelines. - Liaise with Cyprus (AP/Treasury) & India for all OOO relating to approvers/releasers. - Co-ordinate during times of office closure to ensure that payments sent through in advance, so nothing is lost. - Liaise with recruitment to open up roles and arrange interviews. - Provide inductions, from hire notification, start, finalise and complete comprehensive induction process, ensure all induction documents are completed correctly. - Provide full office management duties - Assist employees with regards to day to day general queries - Follow up on absences, ensuring self certs are completed and forwarded to HR, whilst maintaining log of same - Conduct paperwork and full procedures for Exiting Employees/Resignations - Submit expense reports for senior managers, following through to payment. - Liaise with staff regarding originals of reports & maintain folders/logs of same. - Show new employees how to submit travel request/expenses for the first time. - Book travel for senior managers and provide support for any issues during that travel.
