New Job PA / Office Administrator - 56/I25461 Industry: Admin and Secretarial Job Type: Permanent Location: Huddersfield, England Salary: £16000 per annum THE CLIENT: This well-established Huddersfield based company are now looking for a PA / Office Administrator, to ensure the smooth running of the office and support the Chairman and consultants on an intermittent basis. THE JOB: Your duties will include, but are not restricted to: Telephone/reception: Answer and transfer incoming calls during busy times and field all incoming calls for the Chairman and consultants Meeting and greeting visitors, setting up and preparing for meetings and providing refreshments Diary maintenance for the Chairman Secretarial duties as required, to include correspondence, reports, liaison with various consultants, professionals, council officials etc. and occasional dictation Take minutes for bi-weekly marketing meeting Maintaining and improving the filing systems both hard copy and electronic and archiving old files as necessary Maintain software, Log and track IT problems, liaise with IT consultants, purchase computer consumables, maintain back-up system and change server drives on a daily basis. Responsibility for emails and the internet should the system fail Research on the Web, by telephone and in person including site visits and Land Registry and other property searches Travel arrangements: Book transport and hotels, arrange and collect travel money Various accountancy tasks including logging incoming cheques, making online bank payments, banking cheques and handling petty cash Special projects as and when required Reviewing renewal of office contracts for example: IT consultants, burglar alarms, Telecom contracts Reporting and resolving general property maintenance requirements Maintenance of the Property Development website Assist the directors with personal and confidential material Stamp and post all outgoing mail and maintain the supply of stamps etc. You are responsible for taking larger items to the post office CRITERIA Excellent management and organisational skills are needed for this position as well as good keyboard and Microsoft Office knowledge, with the ability to plan, work to deadlines and be proactive to organise a busy workload and staff. BENEFITS & SALARY The annual salary for this role is £16,000 and the working hours are; Monday - Friday 8.30am - 5pm. There is free on site parking and you ill be entitled to 20 days holiday plus stats.
