POSITION: Executive Secretary to the International President STATUS: Non-exempt (Confidential) LOCATION: International Office (Washington DC) SALARY: $60,000 - $75,000 The Association of Flight Attendants-CWA, AFL-CIO seeks a candidate for Executive Secretary reporting to the Union’s International President, to provide administrative and secretarial support to the AFA-CWA International President, International Vice President, International Secretary Treasurer, and ISR’s. DUTIES AND RESPONSIBILITIES Performs a wide range of clerical and secretarial work of an administrative and confidential nature at the direction of the International President. Duties are generally diverse, with many duties requiring analysis and reasoning, good judgment; knowledge of the organization, its procedures and practices. Functions include typing, word processing and data entry from a variety of sources such as: handwritten rough drafts, form letters, forms, reports, printed materials, columns of numbers, etc.; must be able to work with speed and accuracy to produce a consistently high quality work product. Coordinate projects and prioritize assignments. High level writing skills required to assist the International officers with composing and editing/proofreading correspondence and/or marketing materials. Document preparation for meetings to include assembling presentation materials and reports. Special project assignments may be required, or other duties as requested or assigned. Ability to follow and explain procedures; must be able and willing to take initiative, work independently and to tackle new and challenging assignments; problem solving skills a plus. Answers telephone, takes messages or refers calls to appropriate department. Has contact with local members, local officers and or external public including individuals in high levels of responsibility. Acts as a liaison to Board of Directors and all International staff. Arranges and maintains accurate records and files; retrieve information upon request. Maintains master office calendar, schedules appointments and conferences, makes travel arrangements. Reconciles reports and expenses. Operates routine office equipment including computer, label maker, copier, fax. Pace of work is erratic, with periods in which work is rapidly paced and timeline driven. May be required to travel; work a flexible schedule as required, including early or late hours and occasional weekends; attend Board of Directors meeting and work as assigned. QUALIFICATIONS 2-5 year administrative assistant experience Bachelor’s degree or equivalent work experience Excellent organizational and communication skills, written and verbal Must maintain a high degree of confidentiality and professionalism when dealing with sensitive information. Attention to detail with proven experience prioritizing work/and or projects; ability to handle multiple tasks simultaneously. Ability to meet deadlines, maintain confidential records; exercise good judgment and discretion: anticipate office needs and address them without supervision Advanced skills in MS Office Suites with particular emphasis on PowerPoint, Outlook, Excel and Word. WordPerfect a plus. Sufficient skill in typing and the ability to take notes at a meeting from which to prepare an accurate record of events. Ability to learn new software and computer equipment as required by supervisor or as technology changes. Ability to understand moderate technical instructions. Must be self-motivated, able to work with others in a team environment and maintain a positive, professional attitude.
