Payroll Administrator Location: South Africa Salary: Market Related EE Position: No Job Type: Permanent Closing Date: 07 October 2014 Reference: MR-4220 Murray & Roberts Projects invite suitably qualified candidates to apply for the position of Payroll Administrator reporting to the Payroll Manager based at our Head Office in Bedfordview. The Payroll Administrator will assume responsibility for administration of the payroll system by ensuring timely and accurate delivery of payroll, including recordkeeping and reporting whilst following prescribed payroll and company policies, procedures and standards. KPIs would include (but are not limited to): • Reconciliations processing. •VIP system management. •Terminations and new employees processing. •Legislations and tax compliance. •Salaries and payment processing. •Payslips distribution and management. •Time management. • Documents and files management. •IRP5 processing. •General ledger administration. • Policies, procedures and standards compliance. Key Responsibilities: 1.Reconcile all balance sheet and income statement payroll accounts from general ledger to VIP. 2. Reconcile timekeeping information and VIP. 3. Maintain General Ledger on VIP. 4.Check all new employees’ paperwork, ensuring that all paperwork has been received and completed in full. 5.Ensure new employee details are updated correctly on VIP. 6.Ensure each employee is allocated to the correct department. 7.Ensure each individual is allocated correctly to either a contract or overhead. 8.Ensure all terminations are updated correctly and in the correct period on VIP. 9.Ensure all disbursements, allowances, leave, deductions etc. are captured correctly on the VIP system. 10.Reconcile Time & Attendance input to payroll calculations. 11. Manage timesheets for bi-weekly payroll and reconcile input on timesheets to VIP calculations. 12.Liaise with project/site managers continuously regarding timesheets and reporting required by site. 13.Ensure VIP is updated with the correct tax tables and any other legislative changes timeously and accurately. 14.Prepare all payroll payments on time and accurately. 15.Upload all payments on to Standard Bank and reconcile to VIP. 16. Submit payments to authorised releasers in time for payroll to be released. 17.Ensure sufficient funds are available in the bank to pay the payroll. 18.Ensure salaries and wages are paid on time as per specified pay dates. 19. Print and distribute payslips for each individual. 20.Ensure salary and wage returns are prepared and paid on time to avoid penalties and interest. 21.Do backups of all payrolls and ensure all payrolls are rolled over to the correct period prior to next payroll runs. 22.Ensure payroll reports and copy of payslips are properly marked and filed in date order. 23. Keep all personnel files updated so each and every change to payroll from one month to the next can be traced back to appropriately approved documentation on employee file. 24. Ensure employee and payroll information is kept confidential and not distributed to unauthorised parties. 25.Ensure employees are taxed correctly for any fringe benefits, bonuses, mileage claims, free or cheap services, loans, gifts etc. 26.Ensure there is a tax directive for every contractor who requires exemption from PAYE. 27.Prepare IRP5 reconciliation and submit to SARS on time and in the correct format. 28.Keep back up of all IRP5 reconciliations for the time indicated by SARS. 29.Prepare and issue an IRP5 for each individual for the tax year and as and when required. 30.Submit monthly costing to the Project Financial Manager and Corporate Financial Manager. 31.Highlight any costs that need to be recharged to any other entity to the Chief Accountant. 32.Extract General Ledger journals monthly and submit to the Project and Chief Accountant for uploading on to JDE. 33. Comply with internal controls, processes, procedures and standards. Experience: •3-5 years experience in payroll. •Experience in a construction / mining industry will be an added advantage. •Knowledge of VIP Payroll system.
