Penn’s Woods Community Meeting February 27, 2014 Quality Inn, Wilkes-Barre, PA Meeting called to order by Katrina Kasarda, Volunteer Chair at 6:40 Due to absence of Secretary Jane Mascelli, AliceRae Kutish took minutes Jamie Keller, GSHPA membership liaison was unable to attend the meeting as scheduled Daisy/Brownie Tea: Barb Borovich, the chair, of the event was absent. No report was submitted. The Community Chair will request same and budget for the event. Kathy Lockman who was the registrar reported 50 registrants. Community Property: There will be an inventory of Girl Scout items stored at the Kingston Corner Building. AliceRae Kutish and Cindy Taylor agreed to do this. A Protocol for using items will be set-up Cookies: Early incentives were available before and after the meeting. Cookie drop-off went well. 61 of the registered 68 troops sold. Due to the bad weather, cookie sales have been extended to until March 23, 2014. There has been some difficulty with booth scheduling due to requests for booths through GSHPA not being processed in a timely manner. If a booth is pending the troop does not have permission to sell there at that date. If you are doing a walk-about or caravans you do not need permission to use a site. However, drive through booths do need permission. All Cookie Cupboard transactions (exchanging cookies, returning damaged cookies, ordering additional cookies) must go through the ebuddy computer system first. The Cookie Cupboard manager will then contact you to arrange a mutual convenient pick-uptime. The deadline for photo submissions to GSHPA for the “Bling YourBooth” completion is March 17. Budgets: A budget estimating the cost of an event is required before the approval of an event. After the event a complete report of money received and money spent is required. Financial Reports: Financial Reports are due to council by June 30, 2014 for each troop and the community. Due to the joining of the accounts from the 4 former SUs that now make up this Community and previously planned events, the Community will have until Aug. 22, 2014 to file. Girl Scout Birthday Party: The former Pittston Area had agreed to host a Girl Scout Birthday Party in March 2014. However there has been no follow–up on this event. No one from that area was present at this meeting to consult with. So the event has been cancelled for lack of information from the hosts. St. Patrick Parade: Wilkes-Barre will host a St. Patrick’s Day Parade on March 16th at 2:00. Sign-ups are due by March 2. Girl Scout Banner: Kathy Lockman requested funds for the purchase of a Girl Scout Banner that can be used at events such as parades. There was excess money from the Y-Lock-in and was decided to use up to $150.00 to have a banner locally produced. Kathy will arrange this. DUGGS Dance: The Dads, Uncles, Grandfathers, Someone Special Dance will beheld April 12, 2014 at the Kingston VFW. Cindy Taylor and JaneMascelli will co-ordinate. Family Partnership: This year’s event will be roller skating at Skate-Away, Blackman St. Wilkes-Barre in Monday, May 19, 2014 from 6-8:30.The cost of the event will be $5.00 (if skates are needed they can be rented at the facility for $2). This event is open to all. The cost to rent the facility is $175.00. Profits will be turned over to GSHPA. Camporee: The camporee will be at Camp Louise from August 22-24, 2014. The$200 deposit was paid by moneys from SU 331. The cost will be around $30.00 per participant. Mandatory Meeting(s): Leaders or their representatives must attend a Community Meeting on either May 18 or May 20. Trainings in event planning CRP and First Aid will be offered. Next Meetings: March 30 and April 28 at 6:30 at the Quality Inn, Wilkes-Barre.
