Reception Coordinator Job description The Reception Coordinator will be the first person most visitors and callers to iMentor will encounter, and will therefore play a critical role in creating a warm, welcoming atmosphere as well as providing important information and resources. He or she will supervise the main entrance in the New York office, answer phones and provide administrative support for both the New York and Chicago iMentor offices, and provide a high level of customer service to all. He or she will also supervise and coordinate deliveries, manage the ordering and invoicing of office supplies, and provide support within the IT, facilities, and HR functions of the Operations team as needed. The ideal candidate will be outgoing, customer service oriented, and great at thinking on his or her feet, with a keen ability to prioritize when facing multiple demands. Responsibilities •Supervise all entrances and exits from the main entrance, check in all guests and notify appropriate staff, maintain the online registry of guests, and provide a warm welcome to all office visitors •Answer the main iMentor telephone line (fielding calls for both the New York and Chicago offices) and transfer calls to the appropriate staff members as needed. Act as a first line of defense and gatekeeper to keep unwanted solicitations from entering employees phone, email or voicemail •Receive all deliveries from mail and couriers and distribute items to the appropriate staff members •Monitor the [email protected] email address (New York and Chicago) and forward emails to appropriate staff members for action •Provide administrative support to the Chicago Executive Director and Managing Director of Operations •Manage the ordering of supplies for both the New York and Chicago offices •Support the office manager with tracking and maintenance of all shared furniture and technology assets •Assist HR and Finance teams with tracking of vacation day approvals and employee time sheets across the organization for compliance with audit requirements. •Provide ad hoc office/ facilities/IT support as needed •Support iMentor organization-wide initiatives, requiring occasional evening and/or weekend events Qualifications •Extremely friendly, outgoing and customer service oriented; genuinely enthusiastic about being the public personification of iMentor for visitors or callers; doesnt mind answering a barrage of questions •Compulsively punctual, responsible, trustworthy, and reliable; understands the critical role of reception in keeping iMentors operations flowing smoothly •Posesses high emotional intelligence and initiative – able to recognize situations and needs and respond to both appropriately with minimal supervision •Extremely organized and detail oriented, able to juggle multiple priorities and needs without missing a beat •Exceptional at building rapport and maintaining strong relationships with a wide variety of people •Aligned in thought and action with iMentors values (imentor.org/values) •Views differences between individuals (race, gender, age, cultural heritage, physical ability, education and lifestyle) as an asset and demonstrates an appreciation of the diversity within iMentor •Bachelors degree required •Employment is contingent upon the completion of a satisfactory fingerprinting and criminal background check, conducted by the Division of Human Resources at the New York City Department of Education Compensation & Benefits •Annual salary of $35,000 •Up to 100% employer funded comprehensive medical and dental coverage •18 days paid annual vacation and 13 paid holidays + most iMentor functions closed between Christmas and New Years Day •401K match up to 4% •Significant opportunities for professional development and growth
