Following resolutions were adopted by the members . The draft letter to Hon’ble CM was cleared and signed by all core group members. Shri.Chandrakant Virkhare briefed the gathering about the need to reach out to all ex students so that there is maximum attendance by ex students during the ceremony. Protocol committee conveyed that they will be seeking appointment of Hon’ble CM tomorrow for confirming the date of felicitation ceremony. A copy of the minutes of last meeting held at Saraswati Vidyalaya will also be enclosed along with the letter. Felicitation committee highlighted the readiness of Nadaswaran and efforts to obtain good design of Saraswati Devi. They are eagerly pursuing all related matters. Venue decoration committee thrashed out intricacies of holding the ceremony in school auditorium if members are less than 500 and in ground if more than 500. It was decided that a stage will be made besides temple of Saraswati Devi in school premises. Press and publicity committee led by Shri.Sanjay Rajak, Shri. Ramu Bhagwat & Shri.Rajendra Kulkarni will undertake all efforts to highlight this upcoming ceremony off and on in all news dailies so as to reach out to all ex students. An account in name of Saraswati Vidyalaya Ex-students & Ex-teacher’s CM Felicitation Forum has been opened in Shankar Nagar branch of Bank of Maharashtra. 3 members namely Smt. Ashwini Jichkar, Dr. Anup Marar and Shri. Shreekrishna Buty will operate this account on behalf of forum. 2 of 3 signatures will be required to release the payment. Finance committee was handed over the cheque book & receipt books for onward record keeping. Rs.10,000/- donated by 1994 batch led by Shri.Manoj Virkhare was deposited in said account. It was concurred that in the forthcoming meeting will all batch coordinators, the finance committee will hand over one pre-numbered receipt book to each batch coordinator.Rs.100/- per ex student is the minimum anticipated contribution. More than Rs.5000/- contribution will avail an insert in the souvenir. It was decided that a souvenir be prepared to collect desired funds wherein those ex students who donate more than Rs.5000/- will be provided advertisement space in the souvenir. Rs.5,000/- for half page, Rs.10,000/-- for full page and Rs.25,000/- for back and front insides was provisionally agreed upon. Rs.50, 000/- contribution per batch (inclusive of souvenir advertisements) is thus anticipated. Subject to confirmation of Hon’ble CM received through protocol committee; issue of receipt book will be done to batch coordinators. Till then no collections will be initiated. Moreover it was also decided that this new Souvenir will include all snaps of the ceremony with related articles and be released after the event so that it will be a worthy keepsake. Eatables in packets with a sealed water bottle was finalised. Refreshment committee will also ensure post ceremony campus cleanliness. No leftovers /trash should be left in school campus. Entry pass will be designed shortly. Finance committee will issue receipt books to batch coordinators who will verify the authenticity of their batch mates and release Rs.100/- contribution receipts. The ex-students on production of said receipt and a photo id (license/Aadhar/PAN card etc) will obtain one entry pass from school counter managed by Security & Discipline committee . Pre-numbered entry pass with envelope will be provided. Even at time of entry; one will have to produce a photo id (license/Aadhar/PANcard etc) along with the entry pass for police verification. Parking matters were also thrashed. Detailed parking instructions will be given in entry pass for the same. Invite committee members who have the accountability to reach out to maximum ex students will also attend the forthcoming Batch Coordinators meeting next week for the same. Shri.Sandeep Pande who is designing the web page svngroups.in was absent and is requested to interact with Shri.Balaji Buty of Invite committee for related suggestions. All members who are in this fb group are also requested to invite all their known circle of ex-SVians to join the fb group network. The 3rd meeting of Core Committee with Batch Coordinators (The Monitors!) in presence of Finance & Invite Conveners will be planned next week.
