Senior Secretary Alabama State University - Montgomery, AL Under direct supervision provides secretarial assistance to an administrative unit head that is classified either as a senior manager or to the chairperson of an academic department with ten or more FTE faculty. College of Liberal Arts and Social Sciences Levi Watkins Learning Center University College, Humanities Department Zelia Stephens Early Childhood Center Examples of Duties: Duties and Responsibilities: •Reports to an administrative unit head or academic department chairperson and supervises work of all student assistants assigned to the unit office. •Takes dictation and types correspondence, memoranda, reports, instruction sheets, forms statistical data or any other material that is relevant to the work of the administrative unit or program to which assigned. •Proofreads all materials typed to ensure their accuracy. •Composes letters and memoranda from general notes. •Compiles factual information from files, records, publications and other sources, and tabulates this information in accordance with standardized report forms. •Receives, opens sorts and distributes mail as directed, and assembles related materials for use by the supervisor in answering mail. •Maintains accurate and current records of departmental purchases, equipment, travel statistical data, daily office activities, daily program activities and appointments. •Establishes and maintains accurate and current files of letters, reports, records and other documentary material, and ensures that information in these files is kept confidential. •Renders some limited kinds of administrative assistance as directed by the immediate supervisor and in accordance with specific written oral instructions. •Receives and places telephone calls, schedule appointments and meeting makes reservations, greets visitors and callers, records message, and performs the functions of office receptionist. •Prepares request for office supplies as needed, and received such supplies. •Perform general office management duties, and recommends methods for improving office procedures. •Performs other duties that may be assigned by the immediate supervisor. Minimum Qualifications: An associate degree in secretarial science, office administration or other appropriate field and one year of administrative or secretarial experience, or a certificate in secretarial science and two years of administrative or secretarial experience. Supplemental Information: A typing proficiency of 40 net words per minute is required. Proficiency exams administered by ASUs College of Education and the State of Alabama Employment Service are accepted. Test results must be received by the closing date.
