Staff Assistant/Student Services Peralta Community College District - Oakland, CA Compensation Salary Range: $3,246/mo - $3,903 - Hiring Range: $3,246 - 3,553/mo Position Type Classified Department Student Services/EOPS/DSPS (642) Job Description Summary Under general supervision of the Dean of Special Programs and Grants, performs a variety of clerical and technical duties in the Office of Student Services, including the Veteran Affairs Program and support to the Counseling department. Duties & Responsibilities Any one position may not include all of the duties listed nor do listed examples include all tasks which may be found in positions of this class. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions required for the position. • Performs a wide variety of clerical and technical duties in the Office of Student Support Services. • Prepares a variety of correspondence, memoranda, reports, and other materials. • Provides information to students about programs and services and refers to appropriate department. • Prepares and distributes information including agendas, announcements, brochures, and other materials. • Collects and compiles statistical data for a variety of documents and reports. • Assists with budget, processes budget transfers, monitors and track accounts, maintains budget files, orders equipment and other supplies via the automatic requisition system. • Composes correspondence independently. • Prepares a variety of personnel transaction via electronic and paper forms as needed. • Prepares, maintains, and reviews records, requisitions, and forms for accuracy, completeness, and conformance with applicable rules and regulations. • Receives visitors and screens incoming calls and refers to appropriate department. • Schedules students for counselors and for four year college representatives using appropriate software. • Maintains matriculation data for the relevant components (orientation, counseling and student follow-up). • Receives, opens, and routes mail. • Serves as a liaison between the managers, faculty, and the District. • Provides general information and assistance to veteran students applying for their educational benefits under the various chapters of VA entitlements. • Refers veterans to Counseling Department as needed. • Assists with processing documents for the certification of veterans and eligibility for veterans for Veterans Administration benefits. • Verifies current enrollment, tracks attendance of veterans with regard to dropping and/or adding classes, and certifies that courses fulfill veterans’ objective. • Updates veterans’ folders to insure that all required are on file, follow up as needed to obtain any missing documentation. • Submits required documents to District Admissions and Records Office for evaluation of units and degree eligibility. • Works independently on projects and assignments, computes and compiles statistics, and prepares written reports on veterans’ activities for Veteran Administration and other offices. • Maintains working knowledge of federal and state regulations pertaining to the provision of support services to veterans’ affairs students. • Establishes and maintains complex, interrelated filing system for all department files. • Receives student scholarship applications, reviews for completeness and accuracy, and forwards to Scholarship Committee for awarding of scholarship, notifies and posts scholarship winners, requests award checks, distributes certificates and checks to student winners. • May supervise and train office clerical personnel and student workers, codes and checks time sheets for accuracy. • Maintains billing and keeps track of shared office equipment usage, sends out invoices to individual departments, prepares requisitions for maintenance and usage costs. • Performs other related duties as assigned. Minimum Qualifications 1. Three (3) years of clerical and technical experience in general office work, or an equivalent combination of training and qualifying experience, which demonstrates the knowledge and ability to perform the duties of the position. 2. Knowledge and proficiency in the operation and use of personal computers utilizing word processing, spreadsheet, and database management software programs (e.g., MS Office Suite- Word, Excel, Access, and PowerPoint), the internet browser, and e-mail. 3. Understanding of, sensitivity to, and respect for the diverse academic, socioeconomic, cultural, disability, and ethnic backgrounds of community college students. Desirable Qualifications • Experience with veterans’ educational benefits. • Ability to independently set up, monitor, and track budgets and prepare reports. • Knowledge of office procedures and practices. • Ability to organize and work independently. • Ability to establish and maintain cooperative working relationships with individuals at all levels.
