The Governor’s Prevention Partnership JOB DESCRIPTION The CT.JobsID: #10839617 Job Title: Program and Training & Events Assistant Job Classification: Non-Exempt; Full time Become part of a dynamic and dedicated team that focuses on keeping Connecticut kids safe and looking forward to a successful future. We are a public-private nonprofit dedicated to delivering prevention programs that address emerging and dangerous issues that affect todays youth. The Program and Training & Events Assistant will coordinate and support program, technological, and administrative functions of program areas and training and events, in accordance with organizational policies and procedures, customer and funder requirements. DUTIES AND RESPONSIBILITIES: 1. Ensure efficient and professional operation of office functions, including reception duties. 2. Perform technological and administrative functions and ensure that functionality of systems is fully utilized, including: screen incoming telephone calls or inquiries maintain filing systems (paper and electronic), and organizational resources, including storage areas manage databases and mailing lists review and prioritize internal/external mail maintain and update website ensure that ETO and other reporting databases are fully utilized disseminate information through faxes, mailings, Constant Contact, etc. Internet research 3. Manage complex calendaring and scheduling requirements 4. Act as a problem identification and resolution resource for the team 5. Coordinate and engage proactively with staff in planning and organizing events, activities, and calendars 6. Compile, prepare and disseminate organizational correspondence/material, including use of Facebook, Website and other social media tools 7. Gather, compile and maintain data; and complete monthly reports Ensure accurate customer databases and lists Enter data into ETO and MDS systems and prepare monthly reports 8. Prepare presentations and presentation materials 9. Assist with preparation of reports and grant submissions to funders, maintain grant files 10. Serve as coordinator for special projects and special events planning as needed 11. Act as integral part of organization’s administrative team 12. Perform other administrative duties as assigned 13. Manage training and events logistics including scouting locations, determining availability and adequacy, and securing contracts for facilities, refreshments and supplies. 14. Perform pre and post event processes such as registration, attendance and certification of education credits. Prepare and file CEU reporting to state. 15. Prepare sign-in forms, hand-outs, summaries and other records for and from trainings. 16. Manage guest, staff and speaker needs (travel, lodging, etc.). REQUIRED SKILLS AND EXPERIENCE: 1. Minimum of an Associate’s Degree in related field or equivalent professional experience. 2. Evidence of relevant experience including Microsoft Office Applications, Constant Contact, website maintenance, databases, and standard office equipment. 3. Demonstrated organizational and time management skills. 4. Strong communication skills, especially computer-based communications and including ability to proofread. 5. Ability to manage multiple priorities. 6. Strong interpersonal skills; must be able to interact with staff and external constituents in a professional manner. 7. Must have reliable transportation and a valid Connecticut driver’s license and be able to travel throughout the state. Some evening/weekend work required. PHYSICAL REQUIREMENTS: The position requires sitting and utilizing a computer on a daily basis, and using other office equipment such as copiers, facsimile machines, postage machines, and projectors on an as needed basis. The position requires occasionally lifting up to twenty pounds especially to transport materials to and from meetings, events and trainings. The work environment is such that deadlines may fluctuate in accordance with project needs or constraints. Stress may occur especially before and during program events, when deciding priorities from among multiple projects, and when allocating resources to maximize results.
