The Portrait of Empowerment (TPOE) is a not-for-profit charitable organization, founded in 2000. JOB TITLE: PROGRAM ASSISTANT REPORTS TO: PRESIDENT/CEO FLSA Non-Exempt: Hourly Salary Range: $18 PER HOUR HOURS: 10:00 A.M. TO 5:00 PM (MON. THRU FRI) SUMMARY OF RESPONSIBILITIES: The Program Assistant is responsible for providing administrative support to TPOE (21st Century Community Learning Centers) through coordinating assigned activities; monitoring grant compliance; and providing information, recommendations, follow-up, and/or direction as requested by the President/CEO. ESSENTIAL FUNCTIONS/DETAIL OF RESPONSIBILITIES: Compiles data from a variety of sources (e.g. work orders, budget reports, program reports, lesson plans, attendance records, report cards, progress reports, behavioral reports, surveys, etc.) for the purpose of complying with administrative, evaluative, and funding guidelines and grant requirements. Maintains a wide variety of manual and electronic document files and records up-to-date information and/or historical reference in accordance with established administrative, evaluative, and funding guideline requirements. Monitors a variety data in regards to program activities for the purpose of measuring goals and ensuring target dates are met timely. Upload required information for system reporting as directed by the President/CEO. Researches a variety of topics (e.g. current practices, policies, education codes, etc.) to provide information and recommendations to address a variety of administrative, evaluative, deliverables, and funding requirements. Prepares and administrates emails, telephone contacts, and other communication. Communicates and coordinates with internal and external parties (e.g. staff, parents, students, public school administrators, stakeholders, etc.) in regard to data collection matters and/or students progress. Makes recommendations and provides follow-up to the appropriate personnel. Participates in a variety of meetings, workshops, and/or trainings to provide or receive information, record minutes, and support the needs of the overall program. Works as a team player and demonstrates willingness to assist other workgroups. Nurtures effective working relationships with staff through the use of appropriate interpersonal and communication skills. QUALIFICATIONS: Bachelor’s Degree in Social Work, Education, Business Administration or related field and/or a minimum of two years’ experience in an administrative, evaluative, or financial position. Strong computer skills, including proficiency with Microsoft Office. Experience with data collection and electronic data management. Experience with planning and managing projects and preparing and maintaining accurate records. Ability to be self-directed. Competent in basic grant writing and program reporting. Excellent Verbal & Written Communication Skills. Ability to organize time efficiently among a variety of duties. Ability to work with details, while maintaining good organizational skills. Experience with community collaboration and youth development Good interpersonal skills REQUIRED SKILLS • Advanced computer skills CONSIDERABLE KNOWLEDGE OF: • Program planning, development and management. • Community resources and public programs. • State and federal programs and regulations. • Professional community education and training techniques. WORKING KNOWLEDGE OF: • Principles and practices of effective supervision. • Budget and grant development and management. • General knowledge of operations, including scheduling, procurement, grant writing, and quality performance systems.
